The PMO Analyst will be responsible for tracking and collating key project data including budget, spend, staffing, and status. This includes project capital/expense planning & budgeting, timesheet administration, invoice processing, contracts & SOWs, onboarding vendor resources, and other administrative requirements of the PMO.
The PMO Analyst will be required to work very closely with senior IT leaders to track progress of ongoing projects and work with Business project sponsors to collate benefits achieved from completed projects. Driving a culture of transparency and accountability, as well as enabling information-based decision making in the management of technology investments, is a key aspect of the job.
Core Duties and Responsibilities
1. Work with all project managers and scrum masters to ensure key data on projects are current and reflect the project status in different tracking applications/systems
2. Work with project intake team to ensure all key data on new project requests reflect their status and any documentation generated are in line with established norms
3. Administer Jira use (issue management system) by the team to ensure that all items comply with the expected issue hierarchy
4. Work with all resource managers, project managers, and scrum masters to ensure capacity and demand tracker is always up to date
5. Send and track project-end surveys
6. Work with Business sponsors of projects to collect and collate data on benefits realized from previously completed projects
7. Assist with onboarding and off-boarding of major vendor resources
8. Track contracts and SOWs
9. Manage vendor and contractor invoices – receipt, coding, tracking
10. Create monthly portfolio reports
11. Track & provide information needed for the monthly expense forecast process
12. Facilitate and manage the monthly staffing forecast process (includes full time employees and consultants)
13. Continually review all processes for improvement and/or replacement
Qualifications and Specific Skills Required:
14. Bachelor's Degree (Accounting or Finance preferred)
15. 2-5 years of experience in a PMO/financial/budgeting analyst position in a corporate environment
16. Extremely proficient in Microsoft Excel, PowerPoint, and Word
17. Excellent communication (written and verbal) and interpersonal skills
18. Proven track record demonstrating organizational skills
19. Ability to adapt in changing environment
