Job Description

Executive Assistant
Location: St James's, London (office-based)
Salary: On application

One of our private clients, an established Family Office in SW1, is seeking an experienced Executive Assistant to support the team.

This is a high-impact role providing comprehensive administrative support across investments, legal, operations and finance, while also helping manage the day-to-day running of the office. The successful candidate will act as a key organisational anchor, ensuring seamless operations, excellent communication flow, and consistently high standards.

Key Responsibilities




\t
* Provide executive support to the Family Office team, including diary management and coordination of internal and external meetings


\t

* Act as a central point of contact between senior leadership, internal teams, and external stakeholders


\t

* Travel scheduling, including itineraries, logistics, and visa applications where required


\t

* Process expenses and maintain accurate records


\t

* Maintain well-organised systems for documentation, contacts, and information flow


\t

* Provide general administrative support


\t

* Handle sensitive and confidential information with the highest level of discretion


\t

* Serve as first point of contact for guests, liaising with building security and greeting visitors on arrival


\t

* Answer, screen, and manage incoming phone calls and post


\t

* Oversee office supplies and day-to-day office needs


\t

* Organise team events and activities


\t

* Manage relationships with external office vendors




Experience & Profile




\t
* 2-5 years' solid experience in an Executive Assistant or office support role, within a Family Office, UHNW, professional services, financial services, or similarly fast-paced environment


\t

* Proven ability to manage multiple priorities, deadlines, and stakeholders calmly and effectively


\t

* Confident supporting senior executives


\t

* Strong organisational skills with excellent attention to detail


\t

* High level of technical confidence, including calendar management, document handling, and collaboration tools


\t

* Comfortable taking ownership of day-to-day responsibilities


\t

* Team-oriented, flexible, and committed to high standards
