Job Title : Governance Officer
Reports to : Academic Dean (with dotted-line to CEO / Chair of Board of Governors)
Location : London Academy for Applied Technology (LAAT) multi-campus
Hours : Full-time; Permanent
1. Role Purpose
To provide dedicated support for LAATs governance framework ensuring that Board and committee structures operate effectively and compliantly.
The post holder will :
* Coordinate governance cycles meetings and documentation.
* Maintain key governance records policies and registers.
* Support the Academic Dean and senior leaders in delivering robust transparent and student-centred governance aligned with OfS and partner-university expectations.
2. Key Responsibilities
2.1 Governance Framework & Compliance
1. Support the Academic Dean in maintaining LAATs governance framework including :
2. Scheme of Delegation and decision-making maps
3. Terms of Reference (ToR) for Board Academic Board and sub-committees
4. Annual cycles of business and forward planners
5. Maintain and periodically review governance documents to ensure :
6. Alignment with OfS expectations and regulatory requirements
7. Alignment with partner-university governance and quality frameworks
8. Maintain a central governance manual / handbook and ensure controlled access.
9. Support evidence-gathering for external reviews inspections and due-diligence exercises.
2.2 Board Academic Board & Committee Support
10. Plan and coordinate meeting schedules for :
11. Board of Governors and its sub-committees
12. Academic Board and its sub-committees / panels
13. Prepare and quality-check :
14. Agendas and cover sheets
15. Committee papers and reports (formatting completeness clarity of recommendations)
16. Manage meeting logistics :
17. Scheduling and calendar invites
18. Room and / or online meeting arrangements
19. Timely circulation of papers and supporting documents
20. Produce accurate minutes and action logs for designated meetings.
21. Track and chase completion of actions; report on outstanding items.
2.3 Governor & Committee Member Administration
22. Maintain up-to-date records of :
23. Membership of Board Academic Board and sub-committees
24. Governor and committee attendance
25. Declarations of interest and confidentiality agreements
26. Support governor and member lifecycle processes :
27. Recruitment appointment and re-appointment
28. Term-of-office monitoring and renewal reminders
29. Coordinate induction programmes for new governors and committee members.
2.4 Policies Risk & Assurance
30. Maintain the institutional policy register and review schedule.
31. Coordinate policy review activity with policy owners (e.g. Dean Registrar Quality HR).
32. Support the maintenance of key risk registers related to :
33. Governance and compliance
34. Academic quality and standards (in liaison with Quality / Academic leads)
35. Assist in preparing documentation and evidence for :
36. Internal audits and mock reviews
37. Partner-university audits and OfS readiness work
2.5 Records Systems & Information Management
38. Develop and maintain structured electronic filing systems for governance (e.g. SharePoint Teams).
39. Ensure version control and secure storage of :
40. Agendas papers and minutes
41. Policies and governance manuals
42. Handle sensitive and confidential information in line with data protection and LAAT policies.
2.6 Support to the Academic Dean
43. Provide governance-related support to the Academic Dean including :
44. Drafting governance reports and summary papers
45. Preparing dashboards on attendance actions policy updates and risk items
46. Coordinating responses to external information requests relating to governance
47. Help ensure effective linkage between :
48. Corporate governance (Board)
49. Academic governance (Academic Board and quality committees)
2.7 General
50. Contribute to cross-institutional projects with a governance or compliance component.
51. Identify and suggest improvements to governance processes and templates.
52. Undertake any other duties commensurate with the grade and nature of the post.
Requirements
3. Person Specification
3.1 Qualifications
Essential
53. Degree-level education or equivalent experience.
Desirable
54. Governance-related qualification (e.g. ICSA / CGI or similar) or willingness to work towards one.
55. Training in higher education governance risk management or related areas.
3.2 Experience
Essential
56. Experience supporting boards committees or formal decision-making groups.
57. Experience drafting agendas collating papers and taking accurate minutes.
58. Experience working with senior staff and handling confidential information.
Desirable
59. Experience in higher or further education a regulator professional body or similar.
60. Experience in governance improvement projects (e.g. implementing new committees ToR or risk processes).
3.3 Knowledge
Essential
61. Understanding of core governance principles (accountability transparency independence student voice).
62. Awareness of UK higher education as a regulated environment or willingness to develop this quickly.
Desirable
63. Knowledge of academic governance structures (Academic Boards quality committees student voice mechanisms).
64. Awareness of OfS and partner-university expectations for governance and academic assurance.

Required Skills :
Required Skills & Experience Proven experience in academic administration or coordination ideally within a UK higher education context. Strong working knowledge of learning management systems (e.g. Moodle) and student information systems. Excellent organisational and multitasking abilities; able to keep complex processes running smoothly across multiple programmes. Clear confident communicator who can liaise effectively with faculty students and external partners. A proactive problem-solver with a collaborative can-do attitude.
Required Education :
Bachelors degree and postgraduate qualification in Business or a related discipline or equivalent professional experience.
