We have an exciting opportunity to join #TeamEMR as a Team Management Assistant.

We are seeking a highly organised and proactive individual to provide professional administrative and secretarial support to our Engineering Safety and Assurance team. This role plays a key part in ensuring the team operates efficiently and can focus on core management activities. You will also provide support to the wider function when required, including cover during leave or other absences.

Key responsibilities include:

1. Coordinate and facilitate meetings, including preparing agendas, collating documents, and producing accurate minutes.
2. Manage written correspondence and documentation to support the daily activities of the Engineering Safety and Assurance (ES&A) team.
3. Control and maintain documents issued by the ES&A team, ensuring records are accurate, up to date, and secure.
4. Support the ES&A team in collating and managing data to demonstrate compliance across the Fleet function.
5. Manage purchase orders and procurement activities for the ES&A team, and provide support to the Fleet Leadership Team where required.
6. Provide professional administrative support for projects led by the ES&A team.
7. Work with the ES&A team and Fleet Performance Manager to collate and publish data on business objectives and performance in regular reports.
8. Organise and manage arrangements for internal and external audits, ensuring a professional and efficient process for both auditors and auditees.
9. Conduct internal audits and assurance checks as directed by the Fleet Assurance Manager or Fleet Quality Manager, at EMR locations and external suppliers.
10. Provide administrative cover across the Fleet function when required, which may involve working at different fleet locations.

About you

You’ll be a highly organised and proactive individual who takes pride in delivering work to the highest standards. With the ability to thrive in a varied and fast-paced environment, you’ll use your initiative to manage multiple priorities effectively.

You’ll bring excellent communication skills and a friendly, professional approach that helps you build strong working relationships across all levels of the organisation.

You’ll also have:

11. Significant experience in administrative and support roles.
12. Strong IT skills, including proficiency in Word, Excel, PowerPoint, and Outlook.
13. A Level 3 qualification in Business Administration or an equivalent subject (including Maths and English).
14. Knowledge of basic project management principles.

An understanding of the rail vehicle maintenance environment would be desirable.
