Responsibilities

Draft secondment agreements for short term and long term inbounds
* Secondments
Draft pre-secondment letters for outbound secondees
* Secondments
Arrange secondment agreement signatures
* Secondments
Update and regularly monitor the Secondment tracker
* Secondments
Arrange temporary accommodation for inbound secondees when visa is approved (short term)
* Secondments
Send Welcome and Departure emails to Secondees
* Client Secondments
Update master tracker for Client secondments as per completed agreements (SNOW ticket)
* Client Secondments
Update tracker for client secondment extensions
* Client Secondments
Answer first-level SNOW tickets on client secondment queries using existing processes/templates
* Immigration
Gain permission from employees and carry out ECS checks for visas close to expiry (e.g., Tier 4 to Skilled Worker, Sponsorship Visa Renewals, Dependent visas, ILR cases, etc.)

Move email correspondence to DMS folders after hires/secondees join for GDPR compliance
* Immigration
Monitor SNOW queue and Global Mobility & Immigration mailbox; respond within SLAs and tag emails for action
* Immigration
Initiate visa renewals and secondee visa cases in Workday per GM instructions
* Immigration
Update visa approval letters in trackers and raise RTW tickets as needed
* Immigration
Add pipeline cases to immigration tracker from internal reports
* Immigration
Flag issues to other GM team members related to immigration/secondment matters

Download weekly reports for compliance checks and keep weekly SMS tracker up to date
* Leavers
Set reminders for leaver notification tracker

Update Immigration and Secondment trackers after departure

Request visa invoices and calculate reclaimable amounts; inform HRS

Track terminations with ER team
* Leavers
Monitor payroll tracker for visa holders on maternity/paternity/leave

Update weekly SMS tracker for Immigration

Send visa curtailment emails
* Updating and maintaining GM Trackers
Immigration Tracker, moving joiners from Pipeline to Current and updating Employee IDs
* Updating visa end dates on trackers
* Moving records from current to terminated for leavers
* Updating trackers based on applicant reports and secondee details

Enter secondee details for pipeline inbound/outbound and update active/secondee lists
* Completed Secondments Tracker
Update when a secondment ends and add notes
* Record keeping
Archive trackers regularly
* Reporting
Prepare monthly secondments reports for GM review
* Visa letters
Issue ILR and Sponsorship letters using Workday after internal processes
* Relocation assistance
Register Benivo registrations from weekly reports; de-register leavers
* Other
File emails and compliance packs; ensure documents are included (entry stamp, etc.); move immigration/secondment files to correct locations
Qualifications
Essential
* Administration experience is highly desirable
* Experience in a busy, fast-paced environment
* Strong attention to detail
* Excellent communication skills
* Computer literacy with MS Office and HR systems
* Strong analytical skills (preferable but not essential)
* Credible and confident in interacting with stakeholders
* Excellent time management, organisation and prioritisation
* Ability to lead by example and influence team performance
* Willingness to learn new skills as required
