Contract: Permanent, Part-time
Job Summary: The Reception Manager will oversee the day‑to‑day management and supervision of the reception team and associated functions, ensuring they are carried out efficiently and in line with agreed procedures and protocols. Reporting to the Practice Manager, the role supports the receptionists, facilitates effective communication within the practice, and provides a welcoming environment to patients and visitors.
Responsibilities
* Manage and support the reception team, acting as a role model to motivate and promote positive staff relations.
* Organise staffing rotas for holidays and sickness in line with practice policies, in liaison with the Practice Manager.
* Ensure all new reception staff receive appropriate induction and ongoing training.
* Supervise the processing of prescriptions and oversee repeat prescribing protocols.
* Maintain and update patient registration and pathology lab link procedures.
* Monitor and manage appointment booking systems, patient recall, and administrative systems.
* Deputise for the Site Manager in their absence.
* Handle patient queries and support problem resolution to minimise complaints.
* Ensure compliance with practice policies, confidentiality, and data protection standards.
* Participate in relevant audits and contribute to continuous service improvement.
Experience
* At least 2-3 years’ experience in a similar administrative or managerial role, preferably within a healthcare or General Practice setting.
* Experience managing a team, including rostering, training, and day‑to‑day supervision.
* Familiarity with NHS systems, protocols, and procedures is highly desirable.
Skills and Knowledge
* Strong organisational and administrative skills.
* Good knowledge of appointment systems, medical records management, and prescription handling.
* Competent in IT skills, including practice management software (e.g., EMIS, SystmOne).
* Excellent communication and interpersonal skills to interact with patients, staff, and external agencies.
* Ability to handle confidential information sensitively and in compliance with GDPR.
