We are a small, ambitious team entering a key phase of growth.
THE ROLE
We have experienced rapid growth and now need someone to take ownership of bringing structure, organisation and control to our operations. Some systems are already in place, but many need improving, connecting or building from the ground up.
We are looking for a highly organised, proactive individual who enjoys taking ownership and improving how things work.
This is not a typical admin role, you will be expected to take ownership and improve how things work.
You will take ownership of developing and managing the day-to-day operational and administrative systems that keep the business running smoothly. This includes coordinating logistics, managing stock and procurement, maintaining accurate records, and improving processes as we grow.
You will be trusted to take responsibility, spot issues early, and put better ways of working in place.
THE PURPOSE OF THE ROLE
The intent of this role is to free up the directors so they can focus fully on product development, marketing and growth.
By taking ownership of operations, you will play a direct role in enabling the next phase of the business.
Your work will help us scale efficiently while maintaining the quality, performance and customer experience that define Stack Audio.
WHAT SUCCESS LOOKS LIKE (6 MONTHS)
• Day-to-day admin is no longer handled by senior staff
• Marketing output increases due to fewer interruptions
• Production runs more smoothly with reduced paperwork burden
• Orders, logistics and returns are handled proactively with minimal errors
• Systems are organised, integrated and easy to manage
• Clear dashboards provide visibility of business performance
• Stock is managed effectively to reduce shipping costs and maintain consistent availability
• The bookkeeper has all required information to complete accurate accounts on time
• You are confidently managing operational systems with minimal oversight
KEY RESPONSIBILITIES
• Managing and checking customer orders
• Coordinating with UK, EU and US fulfilment partners (3PLs)
• Managing stock, inventory and procurement processes
• Handling returns and warranty administration
• Maintaining production tracking and stock visibility
• Ensuring invoices and purchase orders are properly recorded and passed to bookkeeping
• Reconciling purchase orders, invoices and supplier records to ensure accuracy
• Supporting supplier coordination and purchasing
• Maintaining internal dashboards and reporting
• Identifying inefficiencies and improving systems
WHAT WE’RE LOOKING FOR

You should be:
• Highly organised and naturally structured
• Comfortable managing multiple moving parts
• Proactive and able to solve problems without being asked
• Confident handling sensitive information and payments
• Able to improve systems, not just maintain them
• Clear and practical in communication
• Strong computer skills, including confidence working with spreadsheets and digital systems
• Comfortable handling confidential information and following data protection best practices
• Someone who takes pride in bringing structure and clarity to areas that are currently disorganised
Experience in operations, administration, coordination or similar roles is important.
Experience with systems, automation or process improvement is a strong advantage.
WORKING STYLE
• Based in or able to work from Newton Abbot
• Part-time (3 days per week)

• Salary: £28,000 – £35,000 (full-time equivalent, pro rata), depending on experience
