Odd Muse is a luxury womenswear brand based in London that aims to introduce a slower pace to the fashion industry and provide timeless pieces to last in your wardrobe.
Role Description
Primary responsibility is to ensure the smooth, efficient, and cost-effective execution of all operational aspects of the business, from product creation to customer delivery.
Core Operational Areas:
Supply Chain Management & Procurement:
* Logistics from Manufacturing:Manage the international freight and logistics of finished goods from China and Turkey to our partner distribution centres. This includes customs clearance, import duties, and transportation improvements.
Distribution & Warehousing:
* Distribution Centres:Develop distribution centres in US and Europe to improve customer experience and improve efficiency.
* Multi-DC Management:Oversee the operations of the distribution centres, this includes, inventory management within each DC, order fulfilment processes (picking, packing, shipping), and returns processing.
* Warehouse Efficiency:Implement and monitor key performance indicators (KPIs) for warehouse operations, such as order accuracy, processing times, and cost per unit.
* Inventory Placement & Balancing:Strategically manage inventory levels across the different DCs to optimize stock availability, minimize shipping costs and times to customers in each region, and reduce stockouts or overstock situations.
Inventory Management:
* Global Inventory Visibility:Ensure accurate and real-time visibility of inventory across all locations, from raw materials (if applicable) to finished goods in transit and in DCs.
* Demand Forecasting & Planning:Work closely with merchandising, sales, and marketing teams to develop accurate demand forecasts to inform production and inventory planning.
* Inventory Control:Implement policies and procedures for inventory accuracy, cycle counts, and managing obsolete or slow-moving stock.
* Order Processing Systems:Ensure the efficient functioning of order management systems and their integration with warehouse management systems (WMS).
* Shipping & Carrier Management:Manage relationships with shipping carriers in each region to ensure timely and cost-effective delivery to customers. Negotiate rates and service level agreements.
* Returns & Reverse Logistics:Develop and manage an efficient returns process across all regions, including inspection, restocking, and processing of returned goods.
Quality Control:
* Inbound & Outbound QC:Implement and oversee quality control processes at various stages – at the manufacturing sites, upon arrival at DCs, and before dispatch to customers.
* Product Quality Standards:Work with design and product development teams to establish and maintain quality standards for all clothing items.
* Defect Management:Analyse defect rates and customer feedback to identify quality issues and implement corrective actions with manufacturers.
Strategic & Cross-Functional Responsibilities:
* Strategic Planning & Scalability:Develop and implement operational strategies to support the company's growth plans, including scaling operations for new markets or product lines.
* Oversee the selection, implementation, and maintenance of key operational technologies, such as Enterprise Resource Planning (ERP), Warehouse Management Systems (WMS), Order Management Systems (OMS), and transportation management systems (TMS).
* Ensure seamless data flow and integration between these systems.
* Build, lead, and mentor high-performing operations teams across different geographies.
* Foster a culture of continuous improvement, efficiency, and customer focus.
Budgeting & Cost Control:
* Develop and manage the operations budget, ensuring cost-effective solutions without compromising quality or service.
* Identify opportunities for cost reduction and efficiency gains across the supply chain.
Customer Experience:
* Ensure that operational processes contribute positively to the overall customer experience, particularly in terms of delivery speed, order accuracy, and ease of returns.
* Work closely with customer service teams to address and resolve any operational issues affecting customers.
Compliance & Risk Management:
* Ensure compliance with all relevant international trade regulations, customs requirements.
* Identify and mitigate operational risks, such as supply chain disruptions, geopolitical instability, or changes in trade policies.
* Sustainability Initiatives:Increasingly, this role may involve developing and implementing sustainable practices within the supply chain, from sourcing and manufacturing to packaging and logistics.

* Managing Complexity:Coordinating across multiple countries, time zones, cultures, and regulatory environments.
* International Logistics:Navigating the complexities of global shipping, customs, and tariffs.
* Inventory Optimization:Balancing stock across multiple DCs to meet regional demand without overstocking.
* Maintaining Consistency:Ensuring consistent quality and customer experience across all markets.
* Geopolitical & Economic Volatility:Adapting to potential disruptions in manufacturing regions or changes in international trade agreements.
In essence, the Head of Operations for Odd Muse is the architect and conductor of the entire physical journey of the product, ensuring it gets from concept to customer efficiently, reliably, and cost-effectively on a global scale.
