Steeped in history and charm, this magnificent property provides the perfect setting for a wide range of conferences, meetings, training workshops, and unforgettable team retreats. Our grounds and mansion are also renowned for hosting stunning weddings & celebrations for up to 500 guests, boasting an enchanting wedding pavilion, resplendent original stained-glass window, a sophisticated Downshire ballroom, as well as our stunning King Suite, the largest event space in Berkshire, catering for up to 500 people.
We are looking for a dynamic Hotel Receptionist to join our Team on a part-time basis working night shifts - 16 hpw.
10.30pm - 07.30am
The above shift times are essential to the role & non-negotiable.
Job Description
To ensure high standards of security are maintained throughout the night and that all public areas of the hotel are thoroughly cleaned
Complete administrative tasks accurately and within given deadlines. Be responsible to setup meeting and private dining rooms to agreed standard and to guests’ specifications.
Responsibilities
Ensure that the service offered by all team members is personal and memorable, that guest needs are anticipated and requests followed up.
Build relationships with guests, ensuring that they want to return to Easthampstead Park Hotel.
Ensure good communication with all departments throughout the hotel.
Ensure all regular and VIP guests are known and cared for accordingly.
Handle, follow up and communicate any comments or complaints. Pass on to relevant HODs or Managers if unable to handle.
Be familiar with and promote hotel facilities and attractions within the area. Assist guests with any requests eg: information, making bookings, directions.
Ensure that the night menu is offered/promoted at all times & orders are taken, prepared & delivered to guest rooms in a timely manner.
In addition to the night menu, offer & promote a drink service either from the bar or for room service delivery.
Ensure that all tasks are completed on each shift that a full and thorough handover takes place at the end of the shift.
Be fully conversant with handling of reservation enquiries. Be aware of all current offers.
Ensure you have a well-founded understanding of all Hotel regulations.
Have a thorough knowledge of Opera and any relevant systems.
Complete the Daily Brief accurately & deliver to all Departments ready for the following morning.
Ensure all access to the hotel is secure as required by hotel policy and procedure.
Perform any related security duties as required overnight. This will include 2 floor walks together with clearing trays in corridors. One at midnight & one at 4-5am.
Complete all incident reports and distribute to relevant departments.
Record any unusual occurrences or problems arising to the Duty Manager and take appropriate action.
Communicate, work with and build a good working relationship with Front Office Day team to ensure a consistent level of service is offered throughout the hotel 24 hours a day.
Set up & check rooms for meetings to the hotel standard, meeting guest requirements as outlined by the Function Sheets/Conference & Sales Team.
As a team, ensure that guest areas and offices are clean and tidy at all times.
Check in late arrivals and check out early departures in line with hotel procedures.
Ensure that wake up calls are made promptly.
In line with the above, the hotel needs to be “show round ready” every morning.
Health and Safety
Report all potential and real hazards immediately.
Be fully conversant with all departmental Fire, Emergency and Bomb procedures.
Attend all fire, health and safety training
Ensure the safety of the people and the property of all within the premises by fairly applying Hotel Regulations, by strict adherence to existing laws, statues and applicable ordinances, and reporting any possible hazards and conditions to the Reception Manager.
Have a general awareness of Health and Safety in relation to all tasks and activities undertaken in the department.
Re-use and recycle where possible
Skills
Least 1 year experience in Hospitality
Experience with Opera systems preferred; training will be provided for the right candidate.
