Description
The HR Data Specialist is central to the efficient and effective functioning of the HR function across the Police Federation of England & Wales Head Office and Branch network. The role holder will be responsible for ensuring the quality and completeness of all people-related data, and the effectiveness of HR systems to support operations.
Key Responsibilities
Acting as operational lead for all HR related systems, including:
* Collaborating with IT, HR, L&D, and Talent colleagues to maximise efficiencies across all HR systems.
* Designing and implementing proportionate and effective workflows and processes to support internal procedures.
* Providing an effective support service to end users.
Maintaining HR systems with accurate and up-to-date employee information, including:
* Promptly and accurately inputting employee data.
* Ensuring that all HR documents (for example correspondence, contracts and forms) are promptly and accurately filed.
* Organising, auditing and cleansing HR data to ensure the highest standards data integrity.
* Ensuring that employee data relating to branches is complete, identifying gaps and anomalies and formulating and implementing plans to address.
* Ensuring confidential information is stored in compliance with GDPR legislation.
* Developing, maintaining and implementing data retention schedules.
* Carry out regular system updates and UAT testing.
Reporting on qualitative and quantitative data, including:
* Production of KPI and other metrics to regular reporting schedules.
* Responding to requests for ad hoc management information, statistics or data.
* Provision of basic analysis of management information and data where required.
Support the HR Advisor with the collation of monthly payroll processing.
General basic administration for the HR team where necessary.
* Updating the ATS, Benefit platforms and The Hub.
* Work with colleagues to provide data for annual insurances, subject access requests, freedom of information requests.
* Support with collating HR related information; MS Forms, Surveys, Reports and updating organisational charts.
Skills, Knowledge and Expertise
* Experience of using HR Information Systems.
* Experience or proven ability in managing and working with large data sets.
* Proven experience and ability in designing effective systems / processes and identifying process improvements and enhancements.
* Excellent attention to detail and ability to spot data errors.
* Strong organisational and project management skills with ability to prioritise and progress multiple parallel objectives.
* Strong IT skills, including a high level of proficiency in Excel.
* Excellent analytical skills and ability to present data in a useful and clear way.
* Good communication skills and ability to work well as part of a team.
* Understanding of GPDR and data protection principles as they apply to an HR function.
