Vacancy:
We are seeking a highly organised and detail-oriented part time Administrator to provide essential support directly within our children's homes in Northampton You will be required to work 20 hours per week, across two homes based in Long Buckby - NN6 and Daventry - NN11.
Days to be worked can be discussed and agreed with the home manager.
Vacancy Details:
As an administrator, your position is critical in the smooth running of the children’s home. You won't just be handling paperwork; working closely with the home managers, you'll be the crucial link that ensures our homes operate efficiently, safely, and compliantly, allowing our care staff to focus entirely on our young people. Your day will be busy, and we can guarantee each day will be different!
Key Duties & Responsibilities
1. Conduct and monitor critical staff compliance checks, including Enhanced DBS status checks and Driver Licence checks, ensuring all records are accurately logged on the Charms Management System.
2. Monitor staff training compliance and assist with the timely submission of the monthly payroll return by collecting and checking shift data.
3. Maintain clear and accurate records of all maintenance work and complete administrative tasks related to quality assurance.
4. Manage the petty cash system and reconcile credit card expenditure according to strict financial procedures, ensuring absolute transparency and accountability.
5. Raise purchase orders and efficiently manage the invoicing process to ensure external contractors and suppliers are paid promptly.
6. Ensure children's allowances are allocated and available on required days, and monitor their spend, escalating any concerns to the Manager.
7. Coordinate and accurately minute key meetings and ensure timely archiving of service paperwork in line with data protection regulations.
8. Serve as a key point of contact, liaising effectively with external agencies and suppliers as required.

9. Previous, proven experience in a busy office administration role.
10. Excellent written and verbal communication skills, outstanding organisational and time-management abilities, and a meticulous, detail-oriented approach.
11. The ability to work on your own initiative, problem-solve, and prioritise deadlines while maintaining a resilient, calm, and empathetic approach in a high-pressure environment.
