Position: Chief Administrative Officer
Pay: $135,000 - $155,000 annually

Your Impact as the Chief Administrative Officer
The Chief Administrative Officer (CAO) provides strategic leadership and executive oversight of the Administrative Services, Facilities, Fleet, and Emergency Preparedness departments. The CAO is responsible for ensuring operational excellence, organizational efficiency, regulatory compliance, and resource stewardship across all administrative and physical operations of the organization. This position plays a critical role in supporting the organization's mission by developing and implementing policies, systems, and processes that enhance effectiveness and sustainability. The CAO serves as a member of the Executive Leadership Team and works collaboratively with other senior leaders to align operations with the organization's strategic goals.
1. Leadership and Strategic Oversight
* Provide overall leadership and direction to Administrative Services, Facilities, Fleet, and Emergency Preparedness functions.
* Serve as a strategic partner to the CEO and Executive Team on organizational planning and policy development.
* Lead initiatives to strengthen internal systems, streamline processes, and enhance cross-departmental collaboration.
* Develop and oversee department goals, objectives, and performance measures aligned with the agency's mission and strategic plan.
2. Administrative Services Oversight
* Direct administrative operations including procurement and receiving, records management, office systems, and support services.
* Ensure compliance with applicable laws, regulations, and internal policies.
* Develop and maintain standard operating procedures (SOPs) to ensure consistent, high-quality administrative support.
3. Facilities Management
* Oversee the maintenance, safety, and functionality of all buildings and physical properties.
* Manage capital projects, renovations, and facility improvement initiatives.
* Coordinate space planning and resource utilization to meet evolving organizational needs.
* Ensure compliance with all safety, environmental, and building regulations.
* Collaborate with the Facilities Department to ensure timely maintenance, inspections, and repairs.
4. Fleet Management
* Provide oversight of all vehicle operations, including acquisition, maintenance, safety, and replacement planning.
* Ensure that vehicle use policies are current, compliant, and enforced.
* Oversee preventive maintenance schedules and ensure driver safety training is implemented and documented.
* Monitor fleet utilization and costs to maximize efficiency and reduce operational risks.
5. Emergency Preparedness and Safety
* Lead the organization's emergency preparedness, response, and recovery planning.
* Develop and maintain comprehensive emergency response plans, continuity of operations procedures, and staff training.
* Coordinate emergency drills, safety inspections, and risk mitigation activities.
* Liaise with local emergency management agencies and ensure compliance with all regulatory and accreditation standards related to safety and emergency management.
6. Staff Supervision, Training, and Development
* Supervise and evaluate management staff within assigned departments.
* Promote professional growth and leadership development within the administrative and facilities teams.
* Conduct regular meetings with direct reports to ensure alignment, performance, and accountability.
* Collaborate with Human Resources on hiring, evaluations, disciplinary actions, and succession planning.
7. Collaboration and Partnership Development
* Build and maintain strong relationships with vendors, contractors, community partners, and regulatory agencies.
* Represent the organization in external meetings and partnerships related to operations, facilities, and emergency planning.
* Foster a culture of teamwork, service excellence, and operational integrity across departments.

9. Other Duties as Assigned
* Perform other duties as requested by the CEO or as necessary to support organizational success.
Qualifications Education Required
Bachelor's degree in Business Administration, Public Administration, Management, or related field; Master's degree preferred.
Minimum of 10 years of progressive leadership experience in administrative or operational management, preferably in a nonprofit or public sector environment.
Demonstrated experience managing facilities, fleet operations, and emergency preparedness programs.
Proven ability to lead multiple departments and drive organizational effectiveness.
Licenses & Certifications Required
Valid New York State Driver's License.
Certifications or formal training in emergency management, facilities management, or project management preferred.
