We are looking for a highly organised, proactive and trusted Executive Assistant to support our COO and Executive Team, while also ensuring our office environment runs smoothly and professionally.
This is a high-impact role for someone who thrives in a fast-paced business, enjoys being close to decision-making, and takes pride in creating structure, clarity and momentum.
The Mission
As Executive Assistant, you will enable the Executive Team to operate with pace, focus and discipline. You will own key coordination, governance rhythms and information flow, ensuring priorities are clear, decisions are supported, and actions are followed through.
Alongside this, you will play a key role in maintaining a well-run office environment that supports productivity, professionalism and a positive employee experience.
What you'll be doing
You will provide high-level support to the COO, CEO and Executive Team, including complex diary management, meeting coordination, travel planning, preparation of materials, action tracking and follow-up.
You will help manage the Executive governance cadence, including Founder’s Board Meetings, Executive Board Meetings, Quarterly Strategic Planning Meetings, Executive L10s, and Delivery & Growth Forums.
You will prepare clear agendas, meeting packs, pre-reads and minutes, ensuring meetings are well-structured, purposeful and aligned to our operating rhythm. You will also track key decisions, actions, Rocks and priorities across the Executive Team.
A key part of the role will be using digital tools and AI to improve efficiency, reduce manual work, support document preparation and help the Executive Team operate more effectively.
In addition, you will oversee day-to-day office management, including suppliers, facilities, meeting rooms, visitors, office supplies, maintenance, cleaning, security and internal events.

Success in this role means the Executive Team is well-prepared, focused on the right priorities and supported by strong governance and follow-through.
You will help ensure meetings run effectively, actions are tracked, communication is clear, and confidentiality is always maintained. The office will also run reliably, professionally and cost-effectively, with a positive experience for employees and visitors.
What we're looking for
We are looking for someone with proven experience supporting C-suite or senior leadership in a fast-paced environment.
You will be highly organised, detail-focused and able to manage multiple priorities with calmness and confidence. You will have strong judgement, excellent communication skills and the ability to anticipate needs before they arise.
Experience coordinating complex meetings, governance rhythms and executive workflows is important, as is confidence working with senior stakeholders and external partners.
You will also bring strong digital capability, ideally with Microsoft 365 and other business systems, and be curious and confident in using AI and digital tools to improve productivity.
Experience in office management, supplier coordination or workplace operations would be highly valuable.
