Team Administrator - Family Time Service

Location: Aylesbury

The Family Time Service is a diverse and supportive team that aims to make a genuine impact on the lives of children and families in Buckinghamshire. The team offers plentiful peer support and values creating positive experiences for children and families.

This is a part-time role, 18.5 hours per week, with the salary advertised pro-rata.

About the role

To provide effective administrative support within the Family Time Service.

To work proactively within the team, ensuring service users are responded to appropriately and all administrative tasks are completed accurately and promptly.

Responsibilities:

* Communicate effectively with internal and external customers, promoting a positive image of the Council. Take clear messages/bookings, resolve problems efficiently, and escalate issues to line managers as needed.
* Complete administrative tasks such as photocopying, faxing, shredding, enveloping, and franking to required standards.
* Schedule and arrange meetings and events.
* Support meetings by taking minutes and following up on actions.
* Act as a Cost Centre Administrator, handling financial transactions like raising and paying purchase orders, invoices, recharges, and journal transactions using the SAP system. Maintain stock records and ensure income is recorded and reconciled accurately.
* Upload reports to Content Server.
* Process claims and expenses for casual staff.
* Manage reception duties and act as the first point of contact for visitors.

About you

You will have GCSE/NVQ2 or equivalent education.

The role is customer-facing; the ability to communicate effectively in spoken English and provide advice is essential.

You should have sensitivity and empathy to build trusting relationships with families and skills to influence and motivate them towards achieving goals.
