Scope:
This role requires the candidate to be on-site at our training centre in Crawley. The job focuses upon our need to deliver high-quality technical training to engineers supporting our IVF equipment.
The primary functions of the role are to manage the day-to-day administration required to plan, deliver, manage, and record all training carried out. Including trainee support (visas, invitations, etc), record keeping, scheduling and resourcemanagement.
In addition, a degree of hospitality planning and delivery to visiting trainees will also be required to ensure that all visitors are properly looked after and are able to focus on their training.
Job Summary:
The main responsibilities are the preparation, execution, and follow-up of all administrative tasks related to global equipment technical training, certification, and information-sharing activities. Hospitality and welfare for visiting guests. There may also be opportunities for the right candidate to also become more involved in the training content creation process.
Essential Functions & Accountabilities:
Global training planning and execution
* Administrate the entry point for new training requests – Manage new training requests
* Identify and address regional training deficiencies to ensure those that need it are offered suitable training
* Manage training planning – Training facility resources, manpower and calendar, placement
* Assist with day-to-day running of the training centre
* Plan and deliver hospitality and support for visiting trainees (Visa support, dietary requirements etc)
* Any other duties (within reason) as requested by the training manager
Post-training
* Administrate, track and manage trainee attendance records in a digital/cloud system for easy access and sharing
* Develop and manage a digital certification system to track trainee certification, expiry etc.
Event organization
* Manage food, bookings or any other purchase required to deliver training
* Ensure signed-up participants are given information packs, visa information, directions, hotel recommendations etc. shortly after signing up.
* Assist participants with issues that may arise during training visits
.
Travel:
* No anticipated travel requirements, but occasional travel (for meetings, training etc.) may sometimes be required
Qualifications, Knowledge, Skills and Abilities:
* Organized/structured
* Highly motivated self-starter
* Positive problem-solving attitude
* Pro-active
* Practical/resourceful
* Good communicator - Language skills: English (Mandatory), Spanish) and/or French (Desirable)
* IT skills (MS Office, presentation & planning tools etc.
Work Environment:
* Office based in Crawley, 5 days per week (Monday – Friday) with a small team
* Regular groups of visitors of differing nationalities and cultures may be on site for long periods
Experience:
* Previous office/administrator experience required
* Previous event coordination experience desirable but not essential
Education:
* MS Office qualification preferred
