Overview
The Warehouse and Shipping Manager is responsible for overseeing inventory and warehouse operations to ensure seamless supply chain processes that support business objectives. This role provides strategic direction while managing daily materials management activities, including inventory control and material flow efficiency. In conjunction with the Associate Director, Materials Manager, the Warehouse and Shipping Manager will drive operational improvements and maintain accurate records for all materials and equipment, verify inventory levels, and perform reconciliations as necessary.
Responsibilities
- Manage Quality System Compliance requirements, such as documenting items shipped by recording identifying information of items such as quantity and condition of items, and transportation method.
- Coordinate and ship materials to trade shows and clinical research sites.
- Oversee deliveries and shipments, including assembling, packing, protecting, labeling containers, and determining shipment methods for postal or commercial conveyance.
- Manage warehouse activities, including unloading incoming materials, verifying information on packing slips with purchase orders to ensure shipment accuracy; process return shipments from customers if necessary.
- Handle inventory management: order consumables, restock items as needed, and maintain an organized warehouse.
- Maintain shipping and receiving records by checking stock levels, anticipating needed materials, placing and expediting orders, and verifying receipt of materials.
- Maintain operations procurement records with inspection or quality control personnel, users, vendors, and others to identify and resolve issues and implement corrective actions.
- Lead and develop team members on internal processes and industry-specific compliance standards.
- Coordinate invoice approvals for payment.
- Follow departmental policies, procedures, objectives, and standards related to quality, safety, environmental, and infection control.
- Other responsibilities as necessary.
Qualifications
Essential Duties/Responsibilities:
* Oversee deliveries and shipments, including assembling, packaging, labeling, and determining shipment methods.
* Manage warehouse operations, including unloading, verifying shipment accuracy, and processing returns.
* Optimize warehouse layout and processes for efficiency and safety.
* Identify and implement process improvements to scale operations and reduce costs.
* Implement tracking systems and reporting tools to monitor shipping performance.
* Manage inventory: order consumables, restock, and maintain organization.
* Coordinate shipping to trade shows and clinical sites.
* Coordinate invoice approval processes.
* Maintain accurate inventory records and reconcile as needed.
* Ensure compliance with FDA, ISO, and other standards by managing Quality System requirements.
* Maintain procurement records with relevant personnel and vendors.
* Lead and mentor warehouse, logistics, and inventory teams.
* Collaborate cross-functionally with supply chain, customer service, and quality teams.
* Other responsibilities as necessary.
Knowledge, Skills, and Abilities:
* Experience in the medical device industry preferred.
* Strong knowledge of FDA regulations, ISO standards, and GMP practices.
* Proven experience in warehouse optimization, logistics, and inventory control.
* Excellent organizational and interpersonal skills.
* Outstanding communication skills, both oral and written.
* Ability to multitask, work independently, and in a team environment.
* Professional attitude and demeanor.
* ERP purchasing and inventory accounting experience.
Education and Experience:
* High School diploma or equivalent.
* 5+ years in electro-mechanical procurement and inventory control.
* Proficiency in Microsoft Word, Outlook, Excel, and MRP systems, with at least 5 years of hands-on experience.
* Thorough understanding of purchasing, inventory management, and shipping processes.
* Self-motivated with good organizational skills.
Physical Requirements:
* Standing/Sitting – 100%
* Walking/Bending/Stooping – 100%
* Lifting up to 20 pounds of general office or warehouse equipment.
* No travel required.
