Who are we? ​ First Marine Solutions (FMS) are a service provider to the local and international renewables and oil & gas sectors specialising in the engineering, design, procurement, installation, and maintenance of mooring systems for floating platforms. FMS also specialise in the planning and undertaking of marine activities related to floating platforms such as towage, vessel loadouts, marine assurance, and assisting with location planning and consent. Due to continued growth, a new and exciting opportunity has arisen, and we are currently seeking an experienced Office Administrator to join our busy Operations department on a full time, permanent basis. ​ ​Supporting day-to-day operations by carrying out general office administrative duties, including project related and non-project related tasks, to assist with the smooth running of the department, you will be willing to learn within a growing organisation. ​ The successful candidate will hold a strong attention to detail with the ability to follow instruction and complete tasks in a fast-paced environment whilst ideally holding strong administrative experience within an operational / projects environment. ​ ​ The Role Cont This list does not represent an exhaustive list but indicates the main responsibilities the post holder will be required to undertake: Responsible for answering calls and directing as necessary. Assist Operations Supervisor and Operations Coordinator with project documentation as directed, which includes but not limited to Mobilisation / Demobilisation documentation; Commercial Invoices, Cargo Manifests, Delivery Notes, Customs Imports / Exports, Equipment Line Lists etc Assist to raise Purchase Orders for project related and non-project related purchases for all departments and distribute as required. Assist to arrange deliveries in relation to office supplies, and / or operational related requirements. Assist to prepare, maintain and file paperwork in accordance with the company’s Quality Management System. Assist to administer the company’s intranet portal (SharePoint) as required. Responsible for organising general yard requests as required to ensure continued operations, including but not limited to, vehicle maintenance and consumables requirements. Assist to perform data entry within the company’s equipment management system, including on-hire and off hire of equipment to support the mobilisation and demobilisation of equipment. Responsible for maintaining supplies and stock levels for the general office and yard facilities in accordance with the company’s Purchasing Procedure. Maintain a PPE log for operational personnel, Assist to ensure compliance with the company’s AVL process, communicating with the suppliers directly and notifying HSEQ as necessary. Responsible for administering the stock control process to ensure the inventory list remains up to date with all owned and new equipment. Assist to administer documentation in relation to the company's Chain Inspection division. Assist to administer the monthly invoicing process, with the support of the Operations Coordinator / Supervisor as required. Responsible for receiving yard documentation and filing in accordance with company procedures. Assist with general office administrative tasks as necessary. ​ ​ Your Experience? Essential: Strong administrative experience within an operational / projects environment. Experienced in the use of MS packages (word, excel, outlook etc.). Preferred: Experienced in the use of InspHire / SAP / Maximo or other similar system. Experience in the use of Sage 50. Experienced in the use of SharePoint or other Intranet systems. ​ ​ Who are you? A willingness to learn within a growing organisation. Strong attention to detail.
