Job Details
Job Title: Document Controller – Environment Division
Location: Hampton, Middlesex
Purpose of the Role
Provide consistent support to project teams by ensuring that design and contemporary information/documentation are captured within our systems for ease of retrieval by site teams.
Key Responsibilities
1. Ensure system aligns with our BMS.
2. Drive Information Management (IM) Compliance within your project(s).
3. Engage/Liaise with H&S / Quality Teams regularly, e.g., monthly.
4. Attend design team meetings to ensure compliance within the systems.
5. Follow company and project information management protocols, including IMP and BEP.
6. Create and maintain all registers for audits.
7. Record change control of revision status for traceability.
8. Distribute latest revision of live design documentation to relevant disciplines.
9. Control and maintain design information systematically and issue within deadlines.
10. Issue reports to internal/external parties when needed.
11. Invite and train consultants and subcontractors on our systems.
12. Issue daily reports on new/revised information to site.
13. Generate monthly system reports on security, usage, etc.
14. Contribute to continuous system improvements.
15. Attend site awareness training.
16. Perform other tasks as directed by your Line Manager.
Administration Tasks
1. Capture data from other project systems into our company systems.
2. Support workflow processes, RDD, RFI, and Change Control.
3. Conduct QA checks within workflows.
4. Link information to virtual containers for project management.
5. Manage user access and system containers.
6. Create reports and conduct regular audits for compliance.
7. Support design and site teams in documentation handover.
About You
* Experience with main contractors is preferred.
* Knowledge of Document Control processes at operational level.
* Experience with Viewpoint for Projects and Field View is desirable.
* IT literate, proficient in Microsoft and Viewpoint applications.
* Ability to prioritize and work accurately under pressure.
* Strong attention to detail.
