Job Title : Cruise Support Executive Employment Type : Full-Time Department : Cruise Location : Cheltenham (Primary Base), with support for UK and Spain. Reports To : Head of Cruise – Europe Purpose To provide essential administrative support for the European cruise divisions. Role Summary As a Cruise Support Executive, you will play a pivotal role in supporting administrative tasks of Abercrombie & Kent’s European cruise divisions. Based in Cheltenham, you will provide dedicated support while communicating with tour guides, suppliers, and internal teams to deliver world-class luxury travel experiences. Key Responsibilities Suppliers Database Management: Maintain and update the department’s database of suppliers, ensuring accurate and current contact details, service agreements, and performance records for tour guides, transportation providers, venues, and vendors. Product Record Maintenance: Keep the database of cruise products and excursion details organized, accurate, and up to date, including tour descriptions, itineraries, and logistical information. Travel Studio File Management: Efficiently manage and close files in Travel Studio (our reservations system), ensuring all records are complete, accurate, and properly archived to support operational continuity. Operational Support: Assist in developing and preparing operational and administrative documentation for all stages of cruise excursions, from planning to quayside operations. Supplier Coordination: Communicate via email and phone with suppliers to coordinate services, verify availability, and ensure seamless delivery of cruise-related services. Documentation Accuracy: Create, verify, and reconfirm tour documentation, proposals, and quotes with precision, adhering to budgets and timelines. Logistics: Confirm venues availability for land programs using office systems, ensuring use of allocations and accurate booking of services within budget allocated. Financial Support: Assist the Finance Department with invoice queries, ensure accurate costing for additional requests or changes, and verify financial records in Travel Studio. Content Maintenance: Update tour information and logistical details in collaboration with head offices to ensure consistency in client deliverables. Reporting: Prepare and submit required reports, proposals, or other documents within established deadlines. Administrative Oversight: Ensure all administrative processes within the cruise department are streamlined and organized, supporting the deployed operational team by maintaining a robust administrative framework. Special Projects: Undertake additional office-based duties or projects as assigned by the manager or team leader to enhance department efficiency. Qualifications and Attributes Experience: Minimum 2 years in an office-based role in cruise, travel, tourism, or customer service, with experience in administrative tasks and database management. Skills: Superior Organization: Exceptional ability to maintain meticulous order in supplier databases, product records, and digital systems, ensuring accuracy and accessibility. Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and reservation systems like Travel Studio, with expertise in managing complex data and learning new software. Knowledge of usage of AI tools is a plus. Language Proficiency: Fluent in English and Spanish (spoken and written); additional European language is a plus. Customer Service: Strong communication and organizational skills aligned with Abercrombie & Kent’s luxury standards. Attributes: Highly numerate, detail-oriented, and able to work semi-independently in a fast-paced environment with a positive attitude under pressure. Knowledge: Strong understanding of European geography, particularly UK and Spain.
