LEGAL SECRETARY November 2024 TBVI Legal is a growing law firm committed to our employees and clients. We are seeking to employ a BVIslander or Belonger as a Legal Secretary to join our legal team in the British Virgin Islands. The Role It is suitable for a h ighly qualified assistant with a thorough command of legal, office, and administrative support functions combined with knowledge of court filings, legal procedures, and legal documents. We will provide ongoing mentoring and support to the successful candidate. Key Responsibilities: The successful candidate will be responsible for matters including but not limited to: Provide administrative support to lawyers and enhance office effectiveness. Answer and direct phone calls. Perform all functions relating to reviewing and updating clients’ files, clients’ records and due diligence information consistently and daily, as needed. Drafting legal documents with complete and accurate information extracted from various sources, attaching addendums where required, and ensuring the complete document is received by or filed with the appropriate parties within statutory time limits. Maintains calendar of hearings, court appearances, responses, compliance dates, meetings, business trips, etc., and informs attorneys of responsibilities in advance of commitment. Organizes workload to comply with deadlines and priorities established by attorney; follows up on requests made by attorney. Performs a variety of secretarial functions including processing litigation expense items, reports, expense reports; prepares notebooks and exhibits as required. Participate in projects to improve the processes and efficiency of TBVI Legal. Undertake other tasks including general administrative duties as may be required from time to time. Skills and Experiences A minimum of 2 years’ experience. Excellent written and oral communication skills. Exceptional personal organisational skills, common sense and practical with an ability to work to tight deadlines and prioritise conflicting demands. Takes personal responsibility for quality standards and commitment to meet and exceed existing service standards. Outstanding attention to detail, quality, and control. Perceive beyond the obvious – think, spot errors, analyse, be proactive. Conscientious, self-motivated and goal oriented. Adaptable and resilient. Exhibit enthusiasm for meeting goals by going above and beyond. Ability to develop new skills and understand innovative technology as required. Proven time management and relationship skills. Previous experience in a law firm or corporate service provider preferable.
