Contract Administrator - Glendale Milton Keynes
We provide landscaping services to Milton Keynes City Council maintaining the landscape assets in the borough of Milton Keynes. The main area of responsibility will be to provide general office support within all areas of administration to a busy utilities team.
Key Responsibilities
* Manage the full purchase order lifecycle, including raising orders, tracking deliveries, and performing goods receipt.
* Assist the management team with payroll tasks, specifically verifying staff hours and processing overtime.
* Oversee the end-to-end recruitment process, from securing director approval to appointing, drafting employment contracts, and ordering necessary Personal Protective Equipment (PPE).
* Coordinate new starter onboarding, ensuring all HR systems are updated, 'Right to Work' and 'Check My License' checks are completed, and all documentation is filed correctly.
* Collect weekly staff timesheets.
* Maintain and update the staff training matrix.
* Manage and order staff PPE as needed.
* Maintain and replenish monthly office stock, including stationery and kitchen supplies.
* Coordinate the onboarding of new suppliers and subcontractors, ensuring all relevant forms are completed, insurance policies are current, and management approval is secured.
* Provide administrative coverage for absent team members (e.g., during annual leave).
* Handle the printing and meticulous documentation of vehicle sheets, ensuring they remain up-to-date.
* Provide support to management during staff meetings, including accurate note‑taking when required.
* Participate/arrange monthly social value work required in the contract.
Qualifications and Experience
* Proven experience in contract administration or a comparable support role.
* Exceptional organisational capabilities, demonstrated by a high level of attention to detail and the ability to effectively manage multiple, competing priorities.
* Outstanding written and verbal communication skills for clear and professional interaction with team members, suppliers, and clients.
* Proficiency in operating Microsoft Office suite (note: the company primarily uses Google Workspace).
Hours: 40 per week
Salary: £27,000 -£28,000 per Annum
