Overview
This vacancy provides an exciting opportunity to work in a busy appointments department as part of the Adult Allied Health Professionals Central Appointment Service, delivering appointment booking and referral management. Full time and part time roles are available.
Responsibilities
* Contribute to housekeeping and general office duties (e.g., scanning, printing, photocopying).
* Book a high volume of appointments in a timely manner via the Liberty phone system.
* Provide a comprehensive, efficient admin service for the Adult AHP clinical teams.
* Provide high standard of support to clinical staff.
* Use electronic referral process (SystmOne) to respond to requests in a professional, confidential and efficient manner.
* Receive and respond to requests from patients, carers, acute hospitals, GP practices, Social Services and health care agencies.
* Communicate directly with members of the public and other services.
* Adhere to Trust policies and procedures and manage incoming/outgoing patient and carer communications.
Qualifications
* Essential
o Good standard of education – minimum of 3 GCSEs (or equivalent) at grade C or above including English Language.
* Desirable
o NVQ Level 2 in Business Administration or equivalent (or working towards).
Experience and Skills
* Essential: Experience in an administrative role; ability to provide general administrative duties in a challenging and changing environment; experience in using Microsoft Word; experience in setting up and maintaining office filing systems; experience in planning and organising meetings and taking notes; experience in providing admin support to a team.
* Desirable: Experience of working within an NHS environment; knowledge of medical terminology; System1 experience.
* Special skills: Knowledge of computer packages (Word, Excel, Outlook, PowerPoint); IT skills; ability to use email and maintain diaries; knowledge of Data Protection and Caldicott Principles; ability to maintain confidentiality; excellent verbal and written communication; ability to work with initiative and with minimal supervision; ability to prioritise workload to meet deadlines.
