Event Co-Ordinator Benefits:

Highpoint Recruitment are working as sole providers for all operational support roles for Farnborough International Air Show 2026.
This is a 5 month FTC, from 02.03.26 – 31.07.26, and will be based on site.
This role will require working closely with the Assistant Director of Delegations, Delegations Executive and External Relations Advisor.
You will provide admin support for pre-planning, support of set up of in-house systems for managing delegates, support with set up of passes system and registrant approvals, car pass management, interface with hotels and transportation companies. Organisation of delivery of Welcome Pack and joining instructions.
The key functions for the Event Co-Ordinator are:
* Supporting the Delegations Executive and Delegations Admin Support
* Support the production and dissemination of Delegations passes/car passes
* Support issue of delegate invites and management of delegate responses
* Support the delivery of joining instructions and welcome packs in a timely manner
* During the show provide some reception duties at the main reception to the Delegations Lounge and support delegate staff as required
* To assist with other administrative duties, including email, phone calls etc relating to the Delegations Programme
* Responding to Supplier enquiries and offering general support
* Ensuring the housekeeping and tidiness of Delegations lounge/meeting rooms
* Supporting movement of delegates around the show site as required, and interfacing with Delegations allocated vehicle and management of golf buggies.
* Support with the collation of delegate engagement stats after the event.
Event Co-Ordinator should have the following skills and experience:
* Events experience not required but proven experience of document production and sound administration skills essential. Previous experience in a co-ordination or sales support role would be ideal.
* Confident user of Outlook, Teams, Word and Excel.
* Excellent organisational skills with a proactive approach to co-ordinating with stakeholders and updating Excel project trackers.
* Attention to detail essential and ability to co-ordinate and deliver a variety of tasks in an agile and dynamic environment.
* Good telephone manner and excellent personal presentation essential.
* Able to appropriately communicate with senior level delegates and exhibitors
* Must hold a full UK drivers licence
* Applicants MUST live within 1hr drive of Farnborough
Hours:
* 09:00 - 17:30 Monday to Friday for the majority of the contract.
* 08:30 - 17:30 WC 13.07.26 and WC 20.07.26 including 18.07.26 and 19.07.26.
All applicants must be able to commit to the full duration of the contract, 1st March – 31st July. There will be a requirement to work additional hours and weekends, at least during air show weeks.
