Overview
We are a architecture, interior and construction practice seeking a highly organised and detail-orientated office administrator / PA to support our director and team. The successful candidate will play a pivotal role in ensuring the smooth operation of our office by providing essential administrative support. This is a great opportunity for an organised, disciplined, proactive individual with strong communication skills and the ability to manage multiple tasks efficiently.
Duties
* Manage daily office operations, including scheduling appointments and coordinating meetings
* Handle incoming calls and emails with professionalism, demonstrating excellent phone etiquette
* Maintain accurate records through data entry and clerical tasks
* Prepare documents and reports using Microsoft Office and Google Workspace applications
* Assist with bookkeeping tasks using Xero & HubDoc, ensuring financial records are up to date
* Organise office supplies and inventory, ensuring that all materials are readily available
* Support team members with various administrative tasks as required
Skills
* Vigilant, disciplined, and detail-oriented – you notice the small things that keep projects running smoothly
* Strong communication skills, both written and verbal, to interact effectively with colleagues and clients
* Comfortable working independently and taking initiative
* Proficient in Microsoft Office Suite, Dropbox, Xero, Hubdoc applications.
* Excellent typing skills with attention to detail for accurate data entry
* Previous experience in architecture, construction, or design environments is a plus (but not essential)
* Demonstrated clerical experience, including filing, record keeping, and document management.
The Role
* Part-time: 4 days per week, half days (approx. 20 hours)
* Based in our London studio
* Competitive hourly rate depending on experience
