The role:
The role of the Project Support Officer covers a diverse range of activities to support the delivery of the project’s objectives. The Project Support Officer enables the smooth running of the project by supporting the project manager through the operation of project management processes, and the co-ordination of business management actions and activities on their behalf.
Responsibilities:
* Governance and Reporting - Coordinate portfolio-level reporting across projects and programmes, delivering clear performance insights and financial analysis to governance forums. Ensure data is accurate, consistent, and submitted on time, supporting informed decision-making and confidence in delivery.
* Risk and Opportunity Management - Proactively identify, assess, and monitor risks and opportunities across the portfolio. Implement appropriate mitigation and response strategies, and manage issues that may impact delivery, ensuring clear and timely escalation where required.
* Change Management - Administer the portfolio change control process, including tracking tolerances and managing commercial or procurement-related changes. Maintain accurate records and ensure all changes are appropriately documented and reported through governance structures.
* Planning, Scheduling and Resourcing - Maintain and oversee the portfolio delivery roadmap, including critical paths and interdependencies. Support effective planning and resource alignment across multiple projects to ensure coordinated delivery.
* People and Leadership Support - Work closely with senior portfolio leadership to support the communication of a clear vision and strategic objectives. Contribute to fostering alignment and engagement across project teams.
* Stakeholder Management - Develop and maintain stakeholder maps to support targeted engagement. Build effective working relationships, ensuring stakeholders are informed, consulted, and engaged appropriately throughout the portfolio lifecycle.
* Documentation and Secretariat Support - Prepare, manage, and maintain key portfolio documentation, ensuring it is up to date, quality assured, and approved in a timely manner. Provide secretariat support to governance forums, including agenda setting, minute taking, and action tracking.
* Lessons Learned and Continuous Improvement - Facilitate lessons learned activities across the portfolio. Capture insights and promote knowledge sharing to drive continuous improvement and best practice adoption.
Skills & Experience:
You will have the following skills or proven experience:
* Experience supporting portfolio, programme, or project governance in a complex environment
* Strong analytical skills with the ability to interpret and present performance and financial data
* Experience managing risks and issues, including mitigation and escalation
* Knowledge of change control processes and maintaining accurate records
* Strong organisational skills with experience coordinating plans, schedules, and dependencies
* Effective stakeholder engagement and communication skills
* Experience preparing high-quality reports, documentation, and meeting materials
* Ability to provide secretariat support, including minute taking and action tracking
* Strong attention to detail and ability to manage competing priorities
* Collaborative approach with experience supporting senior leadership
* Experience facilitating lessons learned and driving continuous improvement
