Overview of the job
This role involves administrative support within the Probation Service, ensuring staff and individuals on probation are supported through efficient processes, maintaining administration systems within specified timescales to meet team and divisional objectives.

This role may involve some out-of-hours work, and the post holder must handle sensitive and confidential information in accordance with policies.
Responsibilities, Activities & Duties
* Set up and maintain accurate records of individuals on probation and victim information on approved databases.
* Administer referrals and manage relationships with offender management, victims, interventions, service providers, and external agencies to promote positive outcomes, manage risk, and reduce reoffending.
* Prepare, maintain, and collate case records, files, and management information following required standards.
* Handle information and communications via telephone, paper, and email appropriately.
* Provide reception and telephone enquiry support.
* Act as a single point of contact for specialist areas as needed.
* Interact fairly and effectively with individuals on probation, including those in crisis or displaying challenging behavior, seeking support as necessary.
* Arrange appointments and directions for implementing Sentence Plans.
* Carry out enforcement administration as required.
* Manage petty cash, vouchers, and warrants for travel costs, maintaining proper records.
* Organize equipment, materials, and facilities for case management activities.
* Report faulty equipment and arrange repairs or replacements.
* Maintain systems for effective resource use and suggest improvements.
* Perform Visor administration tasks following procedures.
* Attend and support meetings, including organizing agendas and taking minutes.
* Ensure activities comply with Health and Safety policies, including equipment testing.
* Provide cover within the unit and other divisions as appropriate.
* Carry out safeguarding duties in line with statutory responsibilities and policies.
* Model pro-social behavior, challenge anti-social attitudes, and promote positive behaviors.
* Work in accordance with the aims and values of PS and HMPPS.
