What is the opportunity?
Office Manager position to join the Global Investment Banking team as well as supporting the EA to the Head of Investment Banking Europe and the Business Management team. This position is full time and requires a minimum of 4 days in the office per week, with the option to work one day from home.
What will you do?
* Assisting with the day-to-day business needs of GIB by supporting the EA to the Head of Investment Banking Europe and the Business Management team
* Ability to both support and execute business process policies and changes.
* Help to manage and monitor metrics around expense claims, travel bookings and client entertainment.
* Ensure new employees receive a consistent approach to RBC onboarding in Europe which adheres to RBC's internal policies and procedures.
* Ensuring a consist level of understanding and support with regards to the raising of invoices, project accounts, mandatory training, mid & year end reviews and the CRM system
* Manage the GIB space & floor planning e.g. desk moves via the Manhattan system Facilities Management, including, but not limited to responding to maintenance issues, ordering supplies, upkeep of office clear desk policy
* Liaising with external vendors on behalf of Investment Banking e.g. CTM (travel), Addison Lee (car bookings) and American Express.
* Responsibility for upkeep of the Job Mandates System (JAMS) and 15a6 attestations
* Monitoring of the annual Mandatory Absence System and ADP submissions
* Monitoring and liaising with Facilities and IT with regards to any issues and concerns
* Vendor Management (including the Deliveroo account)

* Experienced Office Manager with ability to work independently.
* Strong organisational skills at all levels involving a high level of attention to detail across all tasks
* Advanced knowledge of Outlook, Word, Excel and PowerPoint
* Concur and CRM experience is an advantage
* Ability to quickly learn internal IT systems.
* Strong communication skills (both vocal and written) with tact and diplomacy and ability to converse with senior management.
* Calm and flexible nature in terms of dealing with urgent requests and situations.
* A broad experience of dealing with a wide range of different personalities and workloads.
* Strong organizational skills, attention to detail and problem solving skills.
* Good time management.
