Description

The Site Maintenance Coordinator supports factory operations that include plant and production equipment, fixed installations, buildings and site. This role ensures the workplace is safe, functional, efficient, and compliant with regulations. The coordinator acts as a point of contact for employees, vendors, and contractors, while assisting with facilities projects and administrative tasks.

The successful candidate in the role will be required to:

1. Monitor the condition of facilities and report on/action repair of maintenance needs.

2. Ensure compliance with health, safety, and Environmental regulations at all times.

3. Support office moves, seating plans, and workspace allocation.

4. Maintain inventory of office supplies, furniture, and facilities related equipment.

5. Create and manage work orders for repairs, fully maintain preventative maintenance and calibration schedules, and facilitate site inspections where required.

6. Liaise with external contractors and vendors for maintenance, cleaning contracts, security, and other services.

7. Track and follow up on maintenance activities to ensure timely completion to comply with regulatory and business needs.

8. Ensure actions are in place to ensure uptime on key production and plant equipment through the management of service contracts, repair contracts and critical spares

9. Assist with vendor selection, negotiation, and contract monitoring.

10. Oversee third party portable appliance, fixed installation, Legionella and other regulatory testing.

11. Agree Risk & Method Statements and compliance. Manage completion of work within scope and to RAMS.

12. Support emergency preparedness procedures, including fire drills, safety inspections, and BCP testing.

13. Maintain documentation related to safety logs, permits, and certifications. Experience dealing with auditors is beneficial.

Required Experience, Skills & Qualifications

14. 1–3 years experience of working in in factory maintenance: production facilities coordination, building operations, property management, or administrative support.

15. IOSH certified as a minimum – training may be considered for the right candidate.

16. Strong organizational and multitasking abilities.

17. Excellent communication and customer service skills.

18. Ability to work with contractors, vendors, and cross-functional teams.

19. Basic knowledge of building systems (HVAC, electrical, plumbing) would be an advantage.

20. Proficient with spreadsheets and office applications.

21. Capable of working in a fast-paced environment.

22. Ability to work independently and with a pro-active attitude.
