Hull Family Practice is a busy practice serving 38,000 patients, across East and West Hull. We are looking to recruita part time secretary for 24 hours per week (hours could be negotiable) over 3 days, to join our friendly team of 3 secretaries based at our Morrill Street site. Youwill provide a friendly, confident and professional service to our patients.

The successful candidatewill be highly motivated and enthusiastic with excellent keyboard andcommunication skills.

Our ideal candidatewill have excellent IT skills and preferably experience of working withSystmOne and the NHS e-referral service or an experienced administrator with an understanding of read coding. You will be a fast and accuratetypist. It is also desirable to have a sound knowledge of medical terminology.

Youwill be able to demonstrate good communication and organisational skills. Youwill have the ability to work both independently and as part of a wider team;to use initiative and discretion. Must be flexible to cover holidays and sickness.

Interviews will commence the week of 6th July 2026.


Main duties of the job

To provide an efficient typing service for GPs and healthprofessionals as required. This includes the typing of letters, reports,patient referrals, minutes, etc. in an accurate and quality manner.

Understand all referral routes available and use relevantforms/proformas.

Understand, utilise and manage the 2WW referral system.

Ensure patient records are kept up-to-date with information relating tochange of name/address etc.

Deal with patient enquiries.

To establish and maintain filing and administrative systems so thatwritten or computer information is easily accessible and secure.

To retrieve medical records and assist with the completion ofmedical/insurance records as requested by patients, solicitors, insurancecompanies, etc.


About us

We are a large friendly teaching practice serving 38,000 patients within the East and West Hull area. We have 10 GP partners, 2 Nurse Practitioners, 6 Paramedics, 3 Pharmacists, 2 Pharmacy Technicians, a physiotherapist, a social prescriber, care co-ordinator, a team of nurses/HCA's and a large team of administration staff including receptionists.


Job responsibilities

Job summary:

Toprovide general secretarial support to the doctors and health professionals,including typing and general administration work.

Job responsibilities:

* To make appointments as required.
* Understand all referral routes available anduse relevant forms/proformas.
* Understand, utilise and manage the 2WWreferral system.
* Ensure patient records are kept up-to-datewith information relating to change of name/address etc.
* Dealwith patient enquiries.
* To attend meetings and take minutes asrequired.
* To establish and maintain filing andadministrative systems so that written or computer information is easilyaccessible and secure.
* To retrieve medical records and assist with thecompletion of medical/insurance records as requested by patients,solicitors, insurance companies, etc.
* File patient records and correspondence inpatient medical records.
* To receive incoming and initiate outgoingtelephone calls in order to facilitate timely and appropriatecommunications with others, taking messages and dealing with appropriatequeries.
* To maintain the computer clinic system in anaccurate and secure manner.
* To assist with the gathering of statisticsand information when required.
* To provide cover for members of thesecretarial team during periods of sickness and annual leave.

* In the course of seeking treatment, patientsentrust us with, or allow us to gather, sensitive information in relationto their health and other matters.They do so in confidence and have the right to expect that staffwill respect their privacy and act appropriately
* In the performance of the duties outlined inthis job description, the post-holder may have access to confidentialinformation relating to patients and their carers, practice staff andother healthcare workers. They mayalso have access to information relating to the practice as a businessorganisation. All such information from any source is to be regardedas strictly confidential
* Information relating to patients, carers,colleagues, other healthcare workers or the business of the practice mayonly be divulged to authorised persons in accordance with the practicepolicies and procedures relating to confidentiality and the protection ofpersonal and sensitive data

Health & safety:

The post-holder will assist inpromoting and maintaining their own and others health, safety and security asdefined in the practice Health & Safety policy, the practice Health &Safety manual, and the practice Infection Control policy and publishedprocedures. This will include:

* Using personalsecurity systems within the workplace according to practice guidelines
* Identifying the risksinvolved in work activities and undertaking such activities in a way thatmanages those risks
* Making effective useof training to update knowledge and skills
* Using appropriateinfection control procedures, maintaining work areas in a tidy and safeway and free from hazards
* Actively reporting ofhealth and safety hazards and infection hazards immediately whenrecognised
* Keeping own work areasand general / patient areas generally clean, assisting in the maintenanceof general standards of cleanliness consistent with the scope of the jobholders role
* Undertaking periodicinfection control training (minimum annually)
* Reporting potentialrisks identified
* Demonstrate due regardfor safeguarding and promoting the welfare of children.

* Contribute to the effectiveness of the team by reflecting on ownand team activities and making suggestions on ways to improve and enhancethe teams performance
* Work effectively with individuals in other agencies to meetpatients needs
* Effectively manage own time, workload and resources

The post-holder should recognize the importance of effective communicationwithin the team and will strive to:

* Communicate effectively with other team members
* Communicate effectively with patients and carers
* Recognize peoples needs for alternative methods of communicationand respond accordingly

Contribution tothe implementation of services:

The post-holder will:

* Apply practice policies, standards and guidance
* Discuss with other members of the team how the policies, standardsand guidelines will affect own work

£13.34 an hourstart wage, depending on experience
