We are looking for a Team Executive Assistant to join the Insurance Sales Team, based at our head office in Wootton, Bedfordshire.
As a Team Executive Assistant you will be responsible for planning, coordinating, and delivering IT projects; streamlining and automating processes; overseeing the implementation of new customers and changes for existing customers; and providing strategic and operational support to the Managing Director of Insurance Sales.
Key Duties and Responsibilities
* Project Management: Manage the full project lifecycle from initial planning to successful delivery, ensuring timelines and objectives are met.
* Requirements & Business Analysis: Translate customer needs into clear, actionable requirements for development teams and develop business cases for system enhancements, outlining expected ROI.
* Stakeholder Collaboration: Work closely with stakeholders across the business, including international teams, Design, UX, QA, National Account Managers, and Account Directors, to ensure accurate system setup, contract implementation, and user-friendly solutions.
* System Testing & Validation: Lead user acceptance testing, write test scripts, and resolve system bugs to ensure enhancements meet business and customer needs.
* Training & Adoption: Deliver internal and external training to support adoption of new system features and process changes.
* Contract & Compliance Management: Review contracts, obtain necessary approvals, and conduct audits to ensure accurate system setup and compliance with CIP, SOX, and other regulatory requirements.
* Reporting & Continuous Improvement: Create and maintain reports to meet business and customer requirements, monitor cost-effective practices, and propose process improvements.
* Executive Support: Assist the Managing Director with diary management, travel arrangements, expenses, coordinating meetings, and ad-hoc tasks to support key business priorities.

Skills & Competencies
* Strong organisational skills with the ability to manage multiple tasks and priorities.
* Clear and confident communication skills, both written and verbal.
* Proactive problem-solving and decision-making abilities.
* Ability to work collaboratively across technical and non-technical teams.
* A basic understanding of project management methodologies.
* Tableau/SQL experience desirable but not essential.
