PRIMARY FUNCTION To manage the London Shipping team including the TA and Bond Manager and coordinate shipments. Being responsible for assisting internal sales departments and Phillips’ clients with the administration and customer service activities relating to the transportation of artworks worldwide. DUTIES AND RESPONSIBILITIES Manage the local shipping team and TA and Bond Manager Prepare shipping estimates for both inbound property Coordinate local transport, art handling, packing and crating services Book airfreight, ocean freight and art shuttle shipments Responsible for all import/export licenses, arts council applications and documents necessary for global transports Manage and coordinate large consolidated consignments for both air and ocean transfers Oversee and assist in any Phillips shipping matter that requires experienced oversight and management Track all costs for all Department Sales Runners Perform general administrative tasks Be proactive in trouble shooting any shipping matters for specialist departments and the shipping team. Act as the point of contact at Berkeley Square for all new hire induction procedures ensuring a thorough introduction to all shipping processes and systems. Ensure training for all licensing needs (Design and TCA) Ensure all 3rd party shippers follow Phillips standards including condition reports when collecting PROFESSIONAL SKILLS AND EXPERIENCE 5 years’ experience dealing with international art logistics and shipping, required Working knowledge of Modern and Contemporary Art is desired Complete working knowledge of and experience with import and export documentation and filings are required Experience with MS Office Suite and Outlook is required Auction house experience desired EDUCATION AND TRAINING Bachelor’s Degree or equivalent work experience is required PERSONAL ATTRIBUTES Strong, positive interpersonal and communication skills (written and verbal) with the ability to work professionally and responsibly with clients and Phillips colleagues in all areas within the business Proactive with excellent organisational skills Ability to prioritise to meet strict deadlines with an adaptability to handle time sensitive shipments and last minute scheduling Excellent time and resource management skills with the ability to multi-task and work autonomously in a team-based environment Ability to understand and work with financial resources Excellent client relations and customer service skills, including confidence, tact and diplomacy for both internal and external clients Ability to handle confidential information discreetly and responsibly Excellent project management and presentation skills Additional language skills, preferred WORKING CONDITIONS Work is primarily undertaken at Berkeley Square location with attendance at the warehouse as required Must be legally eligible to work in the UK without sponsorship
