The Scheduling Manager
The Scheduling Manager is responsible for leading the scheduling and coordination of repairs and maintenance works across the housing stock. This role ensures appointments are booked efficiently, operatives are optimally deployed, and residents receive timely, high-quality service. It plays a vital part in improving first-time fix rates, reducing no-access instances, and enhancing resident satisfaction.
Accountabilities/Responsibilities:
1. Lead the scheduling team to ensure efficient deployment of operatives for responsive repairs, voids, planned works, and emergency callouts.
2. Oversee the use and configuration of the scheduling system (e.g., DRS, OptiTime, Oneserve), ensuring accuracy and optimization.
3. Monitor performance against key metrics including first-time fix rate, appointment compliance, and operative productivity.
4. Work collaboratively with operational managers, customer service teams, and contractors to streamline scheduling and reduce delays.
5. Resolve escalated issues such as scheduling conflicts, access problems, and urgent reallocation of resources.
6. Provide regular performance reports, trend analysis, and recommendations for process improvement.
7. Train and develop scheduling team members, ensuring high levels of customer service and operational knowledge.
8. Support the implementation of new systems or process improvements related to repairs planning and workforce management.
9. Ensure scheduling practices adhere to health & safety standards and contractual obligations.
Key Skills & Experience:
1. Proven experience in a scheduling or workforce coordination role within social housing, construction, or a similar operational environment.
2. Strong knowledge of repairs and maintenance processes.
3. Experience using dynamic scheduling systems such as DRS, OptiTime, Oneserve, or similar.
4. Excellent leadership, communication, and people management skills.
5. Ability to work under pressure, prioritize effectively, and make real-time decisions.
6. Strong analytical skills and attention to detail.
7. Proficiency with IT systems, particularly Excel and housing/property management systems.
