We’re looking for an ambitious, meticulous, dynamic individual to provide full EA support to our Chief Executive.
About the role
To provide full EA support to the Chief Executive, including managing an active diary of appointments, organising internal and external meetings and events, organising travel and itineraries along with a broad variety of administrative tasks.
To take primary responsibility for the administration of all aspects associated with the Chief Executives’ Forum and to undertake some duties of governance for the Board of Trustees and Directors.
To co-ordinate and manage logistics for all Executive Team meetings and events.
The responsibilities
Executive Assistant Support
* Plan and co-ordinate Chief Executive Officer and other Director’s diaries to include engaging with senior external stakeholders. Ensuring diaries are manageable whilst aligning with strategic purpose
* Manage sensitive and often complex business and correspondence on behalf of the CEO. This will entail solving problems, taking responsibility and thinking independently, as well as responding to sudden unexpected demands from the CEO
* Meeting preparation: prepare meeting agendas, materials, and presentations. Attend meetings when required, take minutes, and follow up on action items
* Calendar management: efficiently manage the CEO's schedule, prioritise appointments, and coordinate meetings, ensuring the CEO is well-prepared for meetings.
* Travel coordination: arrange travel logistics, including flights, accommodations, and transportation, for the CEO's business trips and conferences
* Work closely and effectively with the CEO to keep her well informed of up-coming commitments and responsibilities, following up appropriately
* Liaise with Executive team and participate as an adjunct member of the Exec team, including scheduling meetings
* Follow up on contacts made by the CEO and support the cultivation of ongoing relationships
* Liaise with external and internal stakeholders for CEO’s speaking engagements
What you bring
* Proven experience as an EA or PA, supporting C-level Executives
* Ability to adapt to change and react to evolving business needs
* Strong organisational skills that reflect the ability to prioritise and perform multiple tasks seamlessly
* Very strong interpersonal skills and ability to build relationships with internal and external stakeholders
* Act with discretion and treat situations with sensitivity
* Hands-on approach
* Highly resourceful team player with ability to be effective independently
* Strong IT skills. Advanced user of Office suite
* Be adaptable to competing demands and demonstrate highest level of customer service and response

The location
The role will be based at our head office in Letchmore Heath, near Watford, and remotely as necessary.
We are operating a hybrid approach to working with a mix of home and office-based working. We are based in a very accessible location within the M25, just 20 miles from central London.
