Solutions4Health is delighted to offer the role of Admin Support Officer in Bristol. This is a full-time, permanent position with a salary ranging from £24,500 to £27,000, depending on experience.
Role Summary
Smokefree Bristol is a commissioned community stop smoking service of Bristol Borough Council.
Join our dynamic team as an admin support officer, where you will play a crucial role in supporting individuals on their journey to quit smoking! You will be the first point of contact for service users, stakeholders, and partners. A friendly and organized point of contact, responsible for coordinating appointments, managing data, and supporting our Stop Smoking Advisors.
The administrator role requires high levels of organization, excellent communication skills, IT literacy, local knowledge, and a positive customer service approach. The successful candidate must have enthusiasm for helping others, a good understanding of public health interventions, and competent IT and administrative skills.
All team members undergo rigorous training to ensure high standards and evidence-based practice. Full training will be provided to support the post-holder across various areas.
Required Skills/Qualifications
* Monitor email inboxes, action referrals, and handle general inquiries promptly
* Triaging referrals to book clients into relevant clinics with advisors
* Respond to phone calls, voicemails, and callbacks
* Accurate data entry and database management
* Processing invoices for timely payments
* Providing administrative support to the Service Coordinator and advisors
* Offering support, information, and advice to service users and health professionals
* Identifying clinical queries and seeking guidance appropriately
* Handling complaints sensitively and escalating as needed
* Collecting and storing feedback, case studies, and comments
* Supporting social media content creation and scheduling
* Organizing conferences and training events, including registration and resources
* Ordering promotional materials
* Supporting report and dashboard production for reviews and reporting
* Monitoring device calibration, PAT testing, and maintenance
* Maintaining quality standards and data protection practices
* Explaining Stop Smoking principles to callers and service users
* Motivating clients to make behavior changes
* Contributing to promotional events
* Managing assets such as phones and laptops
