Purpose and objectives of the role The Business Support Administrator role will be responsible for assisting the Management Accountant with Fleet administration. The successful candidate will provide support to the Management Accountant, ensuring expenses & private mileage are processed in a timely, accurate manner. The successful candidate will also need to ensure that all fleet databases are reviewed and kept up to date and be able to record any incidents or fines. The candidate will be willing to assist in ad hoc requests as and when they appear and ideally have had experience in raising purchase orders. In this role you will need to maintain positive relationships with clients, peers and colleagues. The ideal candidate will also be efficient with systems, Microsoft Office, have a full UK Driving Licence and be a confident communicator. The primary objectives of this position are: Fleet Administration - ensuring upkeep of vehicles, dealing with queries and updating databases. Ensuring parking, speeding fines and vehicle accidents are dealt with in a timely manner. Processing expenses and Private Mileage. General Administration duties - Hotel bookings, Stationary Ordering. Assisting the Management Accountant with finance related tasks. Main duties and Responsibilities Weekly processing of Private Mileage and Expenses, ensuring accuracy and in line with company policy. Updating all fleet databases such as accidents, fines, MOTs, orders & collections. Supporting the Management Accountant with any finance queries relating to vehicles. Assisting the Management Accountant with any Insurance claims. Accurately processing HFL overhead sales invoices onto our finance system. Booking hotels for HFL employees as and when requested. Produce purchase orders to suppliers for stationary or anything vehicle related. Being self-motivated, organised and able to plan your time effectively. Provide support to the finance team as needed. Willing to assist in any ad hoc reporting and queries Skills & Experience Essential Previous experience in a business support admin role (3 years). Full UK Driving Licence. Proficient in Microsoft Office (Outlook, Excel and Word). Strong attention to detail. Excellent Communication Skills. To always be professional and courteous. Ability to develop and maintain relationships with all suppliers. Strong interpersonal skills focussing on teamwork with people at all levels. Solution Orientated and a good problem solver. Ability to adapt and be flexible within the work environment. Desirable Experience working closely with sales, finance, or operations teams. Experience in using financial systems.
