Are you looking for your first step into a varied, fast-paced career where no 2 days are the same?\n\nWe are a family run training organisation and we are looking for someone who has recently left education to join our friendly team. You will be a motivated and hands-on team member who will learn everything from general admin, sales and marketing, through to training support and HR admin tasks.\n\nYou will be supporting different departments within the organisation and training will be provided, you will receive a mentor and will have the opportunity to work towards a Modern Apprenticeship in Business and Administration in Year 1.\n\nThis is an evolving document as the job role will be adjusted to meet the companyâs needs.\n\n1. Website Maintenance\n\uD83D\uDD39Using 1&1 IONOS\n\uD83D\uDD39Updating the website with new course dates/information\n\uD83D\uDD39Creating new webpages if required\n\uD83D\uDD39Distributing web enquiries to the relevant department\n\n\n2. Social Media\n\uD83D\uDD39Create eye-catching social media images through Canva\n\uD83D\uDD39Posting promotional information on Facebook, Instagram, Twitter and LinkedIn\n\uD83D\uDD39Creating monthly Facebook Ads through Meta Business Suite and monitoring spend to meet budget\n\uD83D\uDD39Producing a strategic annual social media plan\n\uD83D\uDD39Using social media analytic tools to create monthly reports\n\n\n3. Google\n\uD83D\uDD39Updating Google Business Profile if required\n\uD83D\uDD39Using Google Analytics to create monthly website reports\n\n\n4. Promotional Materials\n\uD83D\uDD39Creating and updating promotional flyers, e-brochures and magazine advertisements on Canva\n\uD83D\uDD39Using Flipsnack to convert PDF e-brochures, created on Canva, into digital flipbooks\n\uD83D\uDD39Saving most up to date versions of promotional materials to SharePoint\n\uD83D\uDD39Organising the printing of promotional materials\n\n\n5. Mailings\n\uD83D\uDD39Creating eye-catching and informative mailers via MailChimp\n\uD83D\uDD39Sending mailers to the companyâs four sector-specific mailing lists\n\uD83D\uDD39Using campaign statistics to create monthly mailer reports\n\uD83D\uDD39Producing a strategic annual mailer plan\n\n\n6. General Marketing Duties\n\uD83D\uDD39Creating monthly reports on the above topics, providing own feedback and opinions and strategies for the future\n\uD83D\uDD39Monthly meetings with General Manager & Business Development Team\n\uD83D\uDD39Planning and executing an extensive Scottish Apprenticeship Week promotional schedule, including: mailers, social media content, collating client testimonials, and organising events\n\uD83D\uDD39Collecting and collating feedback to be used as testimonials as well as evidence for Skills Development Scotland\n\n\n7. Awarding Body Administration\n\uD83D\uDD39Routine client/customer correspondence\n\uD83D\uDD39Create courses and set them up on the Awarding Body Portal\n\uD83D\uDD39Maintain an up-to-date spreadsheet detailing the bookings for each course\n\uD83D\uDD39Send course dates, times and joining instructions to clients\n\uD83D\uDD39Create and send course meeting requests with the relevant information\n\uD83D\uDD39Obtaining client invoicing information\n\uD83D\uDD39Provide clients with the essential materials for their courses\n\uD83D\uDD39Provide clients with access to the relevant training platform, e.g. Zoom\n\uD83D\uDD39Obtain the required information about the delegates to adhere to the Awarding Bodyâs registration process, e.g. PAM031, photo and proof of ID\n\uD83D\uDD39Register the delegates with their information on the Awarding Body Portal\n\uD83D\uDD39Create and maintain accurate attendance records for all courses\n\uD83D\uDD39Create Microsoft Forms files for all course on-programme questions\n\uD83D\uDD39Send out on-programme questions to delegates\n\uD83D\uDD39Monitor responses from on-programme questions\n\uD83D\uDD39Send completed on-programme questions to be marked\n\uD83D\uDD39Generate certificates for delegates and securely storing marking sheets\n\uD83D\uDD39Send certificates to delegates and their company contact\n\uD83D\uDD39Create a Microsoft Forms file for delegates to complete an evaluation\n\uD83D\uDD39Send out evaluation forms to delegates\n\uD83D\uDD39Monitor responses from evaluation form\n\uD83D\uDD39Evaluating and summarising the evaluation results to create a document detailing the received information\n\n\n8. Invoicing & Purchase Order Numbers\n\uD83D\uDD39Transfer information from invoice requests on to an invoice document\n\uD83D\uDD39Maintain a consecutive and organised invoice numbering system\n\uD83D\uDD39Maintain an up-to-date spreadsheet detailing all invoice information each month\n\uD83D\uDD39Send clients their invoice/credit invoice\n\uD83D\uDD39Raise credit invoices when required with accurate information\n\uD83D\uDD39Communicate with colleagues to ensure all information is correct\n\uD83D\uDD39Store invoices on SharePoint\n\uD83D\uDD39Raise Purchase Order Numbers for transactions\n\uD83D\uDD39Communicate with Finance Manager to request payments to be made\n\uD83D\uDD39Maintain a consecutive and organised Purchase Order numbering system\n\uD83D\uDD39Maintain an up-to-date spreadsheet detailing all Purchase Order information each month\n\uD83D\uDD39Correspond with ILM trainer colleagues to provide Purchase Order Numbers each month for their registrations\n\uD83D\uDD39Store Purchase Order Numbers on SharePoint\n\n\n9. General Administration\n\uD83D\uDD39Routine filing of company paperwork\n\uD83D\uDD39Routine client/customer correspondence\n\uD83D\uDD39Archiving files and paperwork in line with retention timescales\n\uD83D\uDD39Update PowerPoint presentations\n\uD83D\uDD39Transfer handwritten information to a digital file\n\uD83D\uDD39Create questionnaires, considering the topic of the survey and the audience\n\uD83D\uDD39Send questionnaires to a relevant audience\n\uD83D\uDD39Monitor questionnaire results\n\uD83D\uDD39Collate results to produce informative summary reports in different formats, e.g written, graphs, tables, images, etc.\n\uD83D\uDD39Transfer information from old documents on to new updated documents \uD83D\uDD38You will gain skills and experience in office administration, HR administration, sales and marketing functions and training co-ordinator responsibilities.\n\n\uD83D\uDD38You will work towards a Business and Administration SVQ with support from a mentor and an experienced SVQ Assessor.\n\n\uD83D\uDD38You will learn about the importance of communication with different departments to support various areas of the business.\n We are looking for:\n\uD83D\uDD39A team-player with excellent communication and organisational skills\n\uD83D\uDD39Good written English\n\uD83D\uDD39Excellent time-management skills\n\uD83D\uDD39Good attention to detail and the ability to use your initiative and work unsupervised at times\n\uD83D\uDD39Good all round IT skills\n\uD83D\uDD39An awareness of marketing functions would be an advantage\n
