Responsibilities
* Responsible for the day‑to‑day management, supervision and coordination of Grounds & Gardens staff members, providing leadership through effective planning and delegation; ensuring staff work effectively and that the service is delivered in accordance with organisational requirements.
* Provide high‑quality support to the Grounds & Gardens Officer, playing a key role in identifying and implementing service improvements.
* Provide a grounds and gardens maintenance service to the Bethlem Royal Hospital and Croydon and Lewisham Community properties; contribute effectively as part of a team to deliver a high‑quality service.
* Work closely with other Facilities Team Leaders, liaising and supporting each other and keeping up to date on all aspects of the Facilities service.
* Manage staff under your responsibility and ensure they receive appropriate training and development; provide regular supervision, manage absence and performance, and address staffing issues as they arise.
* Always ensure the professionalism of staff in uniform and in their interactions with staff, patients, visitors and contractors.
* Manage the team workload, planning and coordinating to ensure effective use of resources; monitor activities to keep the service efficient and well‑run, and delegate tasks to cover all ground and gardens duties.
* Develop an in‑depth understanding of the E‑Roster system and manage it efficiently with attention to detail so that individual records are accurate and up to date, payroll deadlines are met, and any issues or discrepancies are highlighted, addressed, and resolved on time.
* Develop an in‑depth understanding of the CAFM system and manage it efficiently, ensuring that individual records are accurate and up to date and that SLA deadlines are met. Assign PPM and reactive jobs electronically, manage the team’s job updates via handheld devices, and plan and update the CAFM system as necessary.
* Train staff on the use of equipment to ensure they work safely and in accordance with guidance provided.
* Ensure resources are used efficiently and effectively, with a focus on sustainability and waste reduction. Identify efficiencies and improvements that provide value for money while maintaining the service at an appropriate level; flag issues to senior management and provide sufficient data to facilitate rapid resolution.
* Instill a culture of health, safety and well‑being amongst the team and ensure compliance with health and safety requirements, including risk assessments, training and periodic reviews.
* Record and report all incidents and accidents accurately and comprehensively in line with the organisation’s Health & Safety requirements (e.g., Datix) and escalated appropriately.
* Regularly inspect facilities occupied by the Facilities team for Health and Safety, including fire risk assessments, and ensure an appropriate number of fire wardens and first aiders are trained.
* Liaise with Fire Officers, Estates and Facilities staff and the H&S Advisor on Fire Risk Assessments and Fire Safety Audits, monitor and follow up on actions, maintain the fire log, and ensure evacuations are carried out and recorded.
* Undertake regular grounds maintenance such as grass cutting, border maintenance, hedge cutting and seasonal pruning.
* Contribute to the continual improvement of gardens and grounds on the Bethlem and Community sites.
* Contribute to safe and secure pathways and carry out maintenance on the Bethlem and Community sites as required.
* Develop ward garden areas for the benefit of residents.
* Maintain plant containers and water bedding plants as required.
* Operate garden machinery safely and report any faults to the Grounds & Gardens Officer.
* Work safely, wearing appropriate PPE to avoid endangering others on site.
* Comply with Trust policies and mandatory training.
* Participate in policy review as required, providing input and comments.
* Acknowledge and comply with current Health & Safety guidelines in line with Trust policies.
