Assistant Facilities Manager

Commercial Portfolio

Reporting to: Facilities Manager / Senior Facilities Manager

Role Overview:

An excellent opportunity has arisen for an Assistant Facilities Manager to support the delivery of high-quality facilities management services across a diverse portfolio of commercial buildings for a leading managing agent. This role is ideal for a proactive and customer-focused facilities professional looking to develop their career within a well-regarded and growing organisation.

You will assist in ensuring that all buildings within the portfolio are operated safely, efficiently, and in line with statutory, contractual, and best practice requirements, while delivering an outstanding service to occupiers and stakeholders.

Key Responsibilities:

Facilities & Operations:

* Support the day-to-day management of a portfolio of commercial properties, ensuring smooth and efficient building operations.
* Assist with planned and reactive maintenance activities, ensuring issues are resolved promptly and cost-effectively.
* Conduct regular site inspections, reporting on building condition, compliance, and service performance.
* Monitor contractor performance against agreed SLAs and KPIs.

Compliance & Health & Safety:

* Assist in ensuring full statutory and regulatory compliance across the portfolio, including H&S, fire safety, and environmental standards.
* Support the implementation and monitoring of risk assessments, method statements (RAMS), and permits to work.
* Help maintain accurate compliance records and ensure remedial actions are tracked and closed out.

Financial & Contract Management:

* Assist with service charge budget management, including monitoring expenditure and processing invoices.
* Support tendering, appointment, and management of service contractors and suppliers.
* Help prepare reports on costs, variances, and operational performance.

Customer & Stakeholder Management:

* Act as a key point of contact for occupiers, responding to queries and issues in a professional and timely manner.
* Build strong working relationships with tenants, landlords, contractors, and internal teams.
* Support occupier engagement initiatives and contribute to service improvement plans.

Reporting & Administration:

* Assist with the preparation of monthly and ad-hoc reports for clients and internal stakeholders.
* Maintain accurate records on CAFM and property management systems.
* Support audits and inspections as required.

Essential:

* Previous experience in facilities management, property management, or a related building services role within a commercial environment.
* Working knowledge of health & safety and statutory compliance requirements.
* Experience coordinating contractors and service providers.
* Strong organisational skills with the ability to manage multiple priorities.
* Confident communicator with a customer-focused approach.
* Proficient in Microsoft Office and FM/CAFM systems.

Desirable:

* IOSH Managing Safely (or working towards).
* Experience within a managing agent or multi-site commercial portfolio environment.
* Understanding of service charge budgets.
