Given the financial aspects of the role, our client is looking for someone with prior experience processing invoices in a commercial office setting, so youll feel comfortable and confident reviewing invoices from day one. Whilst prior office experience is essential, financial qualifications arent essential, but would of course, be beneficial. Summary of duties for the Invoicing Administrator: The main purpose of this role is to take ownership of the invoicing process while supporting the wider Service Department through accurate administration and clear, professional communication. Youll play an important role in ensuring invoices are issued correctly, financial records are kept up to date, and strong working relationships are maintained with end customers, suppliers, and internal teams. On a day-to-day basis, youll be responsible for processing (once invoices have been created by colleagues) and issuing customer invoices accurately and on time. This includes checking invoices against purchase orders, delivery notes, and service reports, maintaining well-organised financial records, updating and managing spreadsheets, and supporting month-end activities as well as relevant weekly reporting. A key part of the role will be uploading invoices and supporting documents, such as completed job sheets, to customer portals. Youll keep an eye on portal statuses and quickly investigate and fix any issues, such as missing information (for example, a PO number) or incorrect pricing or details. The aim is to resolve these as smoothly and quickly as possible, so invoices are clear, accurate, and ready for customer payment. A small part of the role will involve answering incoming calls, usually fewer than 10 a day. These will mainly be from customers and engineers with invoicing questions, and most are straightforward things that are often quickest and easiest to sort out over the phone.
