We are looking to appoint a Repeat Prescription Desk Administrator and a Team Administrator to join our busy GP practice. The successful person will be the focal point of communication between the GPs, Pharmacists, insurance companies, other clinicians, receptionists, the practice manager, patients, local chemists, and other members of the primary healthcare team.
You will also provide general assistance to the practice team and project a positive and friendly image to patients and visitors, either in person or via the telephone.
You will have excellent communication skills, a compassionate and friendly nature, and the ability to operate in a busy environment with various professionals, as you will be working with our clinical and administrative teams.
Main duties of the job
* To liaise with patients and chemists regarding queries and requests, and participate in projects, collaborations, or investigations.
* To ensure repeat medication is issued according to protocols and that queries are dealt with promptly and accurately.
* To highlight patient medication queries to the relevant GP.
* To review prescriptions not collected within the timeframe, remove details from patient records, and destroy the prescriptions.
* To respond courteously and efficiently to inquiries from patients, carers, secretaries, NHS administrators, consultants, or Medicines Management Teams, and record communications accurately.
* To provide effective administration support to ensure smooth prescription services.
* To run analysis reports and gather data for safe management of repeat prescriptions, medication reviews, and continuous improvement.
* To liaise with pharmacies about drug supply issues, alert clinicians to any problems, and suggest alternatives.
* To coordinate with insurance companies and process patient reports and insurance claims in line with GDPR.
* To manage patient documents workflow and ensure proper filing within the clinical system.

Job responsibilities
This role involves duties of a Prescription Clerk and a Team Administrator. As a Prescription Clerk, your responsibilities include:
* Processing repeat prescription requests via phone, email, post, slips, and online systems according to practice protocols.
* Producing prescriptions for GP signing within acceptable timeframes.
* Ensuring prescriptions are ready for collection within 48 hours.
* Creating medication requests for non-repeat items.
* Encouraging patients to reconcile medications for monthly collections.
* Discussing requirements with patients and encouraging only necessary orders.
* Addressing compliance issues with appropriate clinicians.
* Maintaining an accurate recall system for medication reviews.
* Coordinating with external services like district nurses for housebound patients.
* Inputting data into healthcare records as needed.
* Handling prescription-related inquiries promptly.
* Reporting adverse effects and informing the practice manager immediately.
* Data entry into Emis Web.
* Carrying out system searches as requested.
* Maintaining a clean and organized workspace.
Other duties include:
* Processing patient registration changes, record deductions, and new registrations.
* Providing general administrative support to clinical staff.
* Supporting reception staff during absences.
Person Specification
Qualifications
* Education: A levels or equivalent; IT skills are essential for creating searches, data input, and monitoring progress against targets. Experience with prescriptions or pharmacy is preferred.
