The Ashmolean Museum is seeking an Assistant Exhibitions Project Manager to support the delivery of exhibitions and gallery projects, coordinating schedules, loans, installations, and budgets while working with a range of stakeholders.

The Ashmolean Museum delivers a varied programme of exhibitions and displays. This is an excellent opportunity to support us with the exhibitions delivery and managing a number of smaller gallery projects. You will help coordinate key activities such as schedules, loans, meetings, and documentation, working with curators, lenders, and contractors. Ensuring work is completed safely, you will assist with exhibition installation and dismantling. You will also support budgeting tasks, raise purchase orders, and contribute to reporting. This is a full-time, permanent post, working 36.5 hours per week. Due to the nature of this post, the successful candidate will be required to undertake a satisfactory DBS check as well as a Known Consignor check.
Responsibilities
* Support the Senior Exhibitions Project Manager and the Head of Exhibition Projects on the programme of major exhibitions.
* Project management of smaller displays such as the Gallery 8 programme, Chinese Paintings Gallery, Money Case, Conservation Case and Eastern Art Painting Gallery.
* Carry out exhibitions administration: negotiating and securing loans, setting project schedules, project meetings, developing object lists, ensuring files are updated and recorded on the shared servers, DAMS and Museum Plus.
* Support the Exhibitions team on practical arrangements for the design and installation of exhibitions and projects.
* Assist with all aspects of installation and dismantling of exhibitions and gallery projects, maintaining a safe, clean and tidy working environment and writing risk assessments and method statements as needed.
* Contribute to Private View arrangements and guest lists.
* Prepare and manage project budgets, monitoring expenditure and ensuring adherence to best practice and university financial guidelines.
* Arrange purchase orders, track expenditure, seek best value for money and arrange tenders.
* Carry out image procurement for exhibitions for use in publications, communications, and exhibition graphics.
* Prepare regular reports for the smaller displays.
Qualifications
* Organised, reliable, able to manage time effectively with good communication skills.
* Experience in a museum, gallery, or similar environment, ideally supporting exhibitions or displays.
* Ability to work independently and as part of a team, with a practical and positive approach.
* Can manage multiple tasks, work to deadlines, maintain attention to detail.
* Experience of budgets or collections systems is an advantage.
