POSITION Receptionist LOCATION FoyleFamilyJusticeCentre SALARY Starting From £22,222 p/a HOURS OF WORK Full time and Part JOB PURPOSE To provide a warm, professional, and efficient reception service at the Foyle Family Justice Centre. The Receptionist will be the first point of contact for visitors and callers, ensuring they are welcomed, directed, and supported appropriately. The role also includes basic administrative duties and maintaining a clean, organized, and confidential environment. Main Responsibilities: Greet all visitors and clients warmly and professionally. Directclientsandvisitorstoappropriatestafformeetingrooms. Maintain meeting room diary. Maintain Confidentiality and adhere to GDPR policies at all times. Ensurethereceptionandlobbyareasareclean,tidy,andwelcoming. Record visitor details and ensure sign-in procedures are followed. Offer refreshments to clients waiting for appointments. Confidentiality Adhere to the FWA Confidentiality Policy and Procedures and the Data Protection Policy and Procedures, with a client-centred approach at all times. Supervision & Training Be aware of your own training needs and attend relevant training courses in consultation with your Line Manager. Prepare for and positively contribute to your Performance Development Reviews (PDRs) and attend regular supervision sessions as required. Health & Safety To ensure that Health and Safety regulations are adhered to, as stipulated in Foyle Womens Aids Health and Safety Policy. Ensure that a healthy and safe environment exists for all staff and volunteers. AdministrativeSupport: Print, laminate, and file documents as needed. Sendandrespondtoemails,andcommunicatemessagestostaff.Createfobsandprocessservicechargepayments,issuingreceipts.Recordanddistributeincomingpostandcheckthepost-boxdaily. Assist with stock tasks including master copies, finance, and café documents. Telephone&Communication: Answer incoming calls and transfer them to the appropriate staff member. Maintain a telephone log and pass on messages via appropriate channels. Update visitors on any delays or changes to appointments. Meeting & Room Management: Check daily diary for meetings, programmes, and room availability. Set up meeting rooms and ensure catering is ordered/prepared. Clear down meeting rooms after use. Provide brochures and magazines in waiting areas. Any Other Tasks Adhere to FWA policies and procedures at all times. Provide verbal and written reports as requested. Prepare for and regularly attend team meetings and other local meetings as required.
