Facilities Assistant

Facilities Assistant

The successful candidate will work as a Facilities Assistant in the London office. The hours will be from 09.00am to 6.00pm, however flexibility is required to attend premises to supervise and monitor contractors “out of hours”, including weekends and project works.

Principal Responsibilities

1. Sort incoming mail for distribution and dispatch outgoing mail before midday
2. Process certified/return receipt packages and deliver to post office
3. Responding to service calls/emails
4. Review furniture needs and reconstruct furniture as needed
5. Identify cleaning deficiencies in overall facility and proactively identify areas requiring attention
6. Ensure the physical appearance of the office is to company standards
7. Partner and communicate with building engineers on service requests
8. Maintenance of conference rooms which includes set up and cleanup after meetings and events
9. Service employees with their day to day office needs (i.e. troubleshoot or repair desks, daily moves, changing toners)
10. Ensure that the office supply and kitchen areas are well-stocked
11. Log and track all incoming priority packages and deliver to recipients with signature time and date
12. Process certified/return receipt packages and deliver to post office
13. Coordinate and schedule pickups and deliveries
14. Ad hoc team requirements as they arise, to include:Holiday cover for Office Management/Facilities team

Qualifications/Skills Required

15. Microsoft Office experience
16. Strong Excel and data entry skills a plus
17. Detail oriented
18. Demonstrates thoroughness and strong ownership of work
19. Proactive approach
20. Logical and problem solver
21. Able to prioritize in a fast moving, high pressure, constantly changing environment;
22. Good sense of urgency
23. Quick learner
24. Good team player with a strong willingness to participate and help others
25. Ability to remain calm in a hectic work environment
26. Strong communication skills; ability to communicate well with people of all levels
27. Friendly and cooperative personality
28. Personal integrity; trustworthy and honest
