RESPONSIBILITY FOR STAFF: The post has no or limited direct responsibility for supervising other staff though may be expected to demonstrate tasks or advise/guide new employees, work experience or trainees. RESPONSIBILITY FOR BUDGET: The post has some direct responsibility for and is accountable for handling cash, processing cheques, invoices or equivalent or is accountable for small budget. RESPONSIBILITY FOR PHYSICAL RESOURCES: The post has some direct responsibility for physical resources, involving the careful, accurate, confidential and secure handling and processing of information. Works under general instruction and guidance, undertaking financial administration tasks that are mainly routine and are covered by established procedures, but prioritises own workload. Refers complex problems upwards. Role is mainly reactive but requires some initiative to be exercised. Specific training in the job or previous relevant experience plus short induction required. Contribute to the school’s statutory duty to safeguard and promote the welfare of children. A duty to comply with the school’s Code of Conduct, Child Protection and Safeguarding policies and practices Responsible for: Creating orders within the Trust’s finance system and ensuring they have the necessary approvals before sending to suppliers Receipting goods as appropriate once they have been delivered Inputting invoices within the Trust’s finance system and ensuring they have the necessary approvals (and chasing this as necessary) Creating non-order invoices as required, ensuring the necessary approvals are gained (and chasing as appropriate) Receiving, counting and accurately recording cash on behalf of all Trust schools (eg for lunches, trips etc) as necessary Accurately receipting all other income onto the Trust’s finance system Accessing the individual school bank accounts in order to determine transactions that require posting Retrieving standard reports from the Trust’s finance system Accurately processing expense claims Contributing to the explanation of variances on the management reports on a monthly basis (using knowledge of the transactions that have been input over that month) Undertaking other general clerical duties as required and commensurate with the post (eg covering the school reception by answering the telephone, dealing with visitors, word processing) Other Professional Requirements • Undertake training as considered appropriate to the needs of the post • Undergo staff performance and review scheme interviews as part of continuing professional development. • Any other reasonable duties at the discretion of the Trust Business Manager, Headteacher / Deputy Headteacher
