Overview

We are looking for a highly motivated and proactive person. The successful applicant will report directly to Bensham Grove, Chair and Board of Trustees, and will work closely with the Project Manager, staff and volunteers.

The Administrator will play a crucial role in supporting the efficient operation of Bensham Grove. They will be responsible for various administrative tasks, maintaining finances and budgets, event support, diary management, preparing board papers, managing meetings, and minute taking. Strong IT skills, organisation skills, communication skills and attention to detail are essential for this role.

Duties

* Provide general administrative support, including managing correspondence, maintaining paper and handling office supplies.

* Be experienced with Quickbooks or similar accounting software package.

* Show good knowledge of spreadsheets in order to maintain and update the digital ledger effectively.

* Deal effectively and efficiently with enquiries and requests from members of the public, partners, members and volunteers.

* Be responsible for the organisation's administration and the implementation and maintenance of appropriate office systems and up to date financial records ( cash handling and electronic payments), subscriptions, membership, room hire, petty cash, volunteers' expenses tracking, and invoicing.

* Maintain and manage appointments, bookings and calendars, coordinating with internal and external participants.

* Prepare and distribute relevant documents, reports, and presentations as required.

* Provide administrative support to meetings as required including Board meetings – accurate minute taking, send out paperwork, diary management, room booking and follow up actions such as collating staffing in the Pottery and staff timesheets.

* Conduct research and gather information for various projects and initiatives.

* Assist with marketing and promotional activities, including social media management and content creation (i.e. for website and newsletter) and off-line (print) and notice boards.

* Accept responsibility for appropriate behaviour regarding Health & Safety, Equality, Diversity and Inclusivity, fair treatment of others and maintenance of high levels of customer service, as well as compliance with appropriate policies.

* Undertake other duties appropriate to the post and in line with the needs of the organisation to enhance overall organisational efficiency and effectiveness.

* Assist with project events planning and coordination, including appropriate support of the planning process, contacting facilitators and participants, preparing schedules and itineraries, keeping up to date records, events and activities as required.

* Ensure all logistical aspects are handled smoothly, and timely completion of tasks and effective communication.

Essential Experience

* At least 2 years' experience of working in a paid capacity in an administrative/ coordination role.
* Experience of minuting meetings
* Experience of letter writing and researching and drafting papers and reports
* Familiarity with financial management, budgeting, and expense tracking.

Desirable Experience

* Knowledge of adult learning, arts, culture and Heritage in regional or national context
* Knowledge of specific art or craft form
* Understanding of the principles of equality, diversity and inclusivity
* Experience of working in a paid or voluntary capacity in an arts or cultural organisation, local government or the voluntary sector
* Understanding of the principals of Community Education

Qualifications

Experience in an office administration role with good keyboard skills and competence with figures.

Skills

* Proven administrative and organisational skills
* Exceptional attention to detail and accuracy in all work.
* Ability to work collaboratively within a team and on own initiative, and prioritise a complex range of tasks with minimum of supervision.
* Strong communication and interpersonal skills, responding effectively by email, in person and over the telephone.
* Ability to write clearly and concisely
* Proof-reading skills

Job Type: Part-time

Pay: £16,380.00 per year

Expected hours: 22.5 per week
