Working Pattern: Typically 5 days in office, with core hours flexible between 8am-6pm.
Role
Personal Assistant providing high‑level support to the Director within the Next Sourcing team. Operate in a fast‑paced environment, keeping leadership organised and efficient while covering Director PA duties as needed.
Responsibilities
- Manage calendars & communications: oversee the Director’s diary, manage inbox, screen calls, and handle daily correspondence.
- Coordinate meetings: organise high‑level meetings and capture accurate minutes and actions.
- Handle systems & administration: manage and approve requests through NEXT systems (NEP, FCM, Service Now, NIA, Concur) with discretion.
- Delivery personal support: assist with travel, healthcare, expenses, and hospitality.
- Lead event coordination: plan and execute onsite/offsite meetings, away days and annual focus events, including venue liaison and budget management.
- Oversee budgets & reporting: monitor department budgets, manage cost‑centre reports, recharges, and maintain the Gift Register & NSOB process.
- Support HR & departmental processes: coordinate vacancies, manage budget approvals, maintain the 9‑box grid, oversee work‑experience placements, and update critical‑path and risk registers.
- Run the office smoothly: act as main point of contact, maintain meeting rooms, order supplies, and manage physical office space.
Qualifications
- Senior PA experience supporting senior leadership in a fast‑paced corporate environment.
- Discretion and integrity in handling confidential information.
- Tech‑savvy: strong PC literacy, expertise in Google/G‑Suite, and ability to adapt quickly to internal systems.
- Calm under pressure with an assertive, composed demeanor managing competing priorities.
- Exceptional organisation: meticulous attention to detail and accuracy.
- Strong relationship building and communication skills; diplomatic and tactful with stakeholders at all levels.
