An exciting opportunity has arisen for a proactive and highly skilled part‑time, 30‑hour a week Band 3 Support Secretary to join our dedicated Head & Neck Secretariat team at The Princess Royal Hospital. This is a pivotal role within a supportive team of Medical Secretaries, providing high‑level secretarial support to the Head & Neck Centre, managing complex clinical correspondence using sensitive medical terminology via audio transcription, organising and prioritising a varied workload in a fast‑paced environment, and communicating effectively with multidisciplinary teams across all levels while upholding the highest standards of accuracy, confidentiality and professionalism.


Main Duties of the Job

* Using Microsoft Office applications to produce clinical correspondence with audio transcription, including communication to General Practitioners and other health professionals, clinical letters, notes, and discharge summaries.
* Respond to telephone calls from anxious and distressed patients, resolving problems when possible in a professional and competent manner.
* Ensure all queries from colleagues and external organisations are dealt with quickly and effectively in the department, producing file notes as necessary.
* Promote the implementation and adherence of agreed policies, procedures and protocols, and ensure the smooth running of the office/team, assessing priorities and initiating preparatory action.
* Open and deal with incoming correspondence as appropriate, photocopying, performing general office duties and using the PAS (Patient Administration System) when necessary.
* Book in and book out notes to other departments using the in‑house Patient Document Tracking (PDT) system.
* File results, letters and various other documentation in medical notes.
