Hours: Monday – Friday 37.5 hours
About the Role
Our client is currently seeking a highly organised and motivated Personal / Team Secretary (Band 3) to join their Mental Health, Learning Disability and Community Wellbeing service.
This is an excellent opportunity for an experienced administrator to provide essential secretarial support to a Team Leader while helping ensure the smooth and efficient running of a busy department.
Key Responsibilities
1. Provide comprehensive secretarial support, including diary management and scheduling meetings/appointments
2. Deliver high-quality typing and document preparation from audio, notes, and dictation
3. Organise and support meetings, including minute-taking and distribution of documentation
4. Handle incoming and outgoing correspondence, including emails, post, and telephone enquiries
5. Maintain accurate records, filing systems, and databases
6. Liaise professionally with internal teams, external agencies, and stakeholders
7. Manage email accounts and communications on behalf of senior staff
8. Support complaints handling processes, including organising meetings and compiling responses
9. Assist with data collection, reporting, and spreadsheet management
10. Provide general administrative support across the team and cover for colleagues when required
11. Ensure strict adherence to confidentiality and data protection standards

15. Experience using Microsoft Office (Word, Excel, Outlook)
16. Ability to work both independently and as part of a team
17. Experience in administration or secretarial roles (healthcare experience desirable)
18. Ability to prioritise workload in a fast-paced environment
