Retail Operations & Facilities Coordinator
Location: Hybrid (with travel to store locations)
Working Hours: Monday - Friday, with potential on-call weekend availability and occasional weekend work (flexibility required)
Job Overview:
We are seeking a proactive and detail-oriented Retail Operations & Facilities Coordinator to support store maintenance, administrative tasks, and ensure compliance with operational standards. The role involves managing maintenance schedules, coordinating repairs, assisting with budgeting, and ensuring stores meet safety and operational requirements.
Key Responsibilities:
* Maintenance & Operations: Coordinate preventive maintenance schedules and repairs with internal teams and contractors. Ensure compliance with health, safety, and environmental regulations at all retail locations. Support new store openings, renovations, and long-term maintenance planning. Track maintenance budgets, costs, and resources, ensuring efficient allocation. Maintain records for inspections, repairs, and compliance documentation.
* Health & Safety Compliance: Ensure adherence to fire safety, accessibility, and emergency procedures. Keep up-to-date records of risk assessments, inspections, and compliance. Manage databases of maintenance requests, costs, and contractor info.
* Vendor & Supplier Management: Develop and maintain relationships with contractors, suppliers, and service providers. Assist with negotiating contracts and monitoring vendor performance. Work with IT or external providers to integrate efficient systems (e.g., work order tracking software).
* Inventory & Asset Management: Track equipment, fixtures, and assets to ensure proper maintenance. Coordinate repairs or replacements of store fixtures and equipment.
* Retail Operations Administrative Support: Provide general administrative support for the Retail Operations department. Input data related to sales, inventory, and operational metrics. Manage communication, meetings, and departmental reports. Assist with special projects (product launches, promotions, store openings). Offer logistical support for retail and training activities.
Required Skills & Qualifications:
* Experience or interest in retail maintenance, facilities management, or a similar administrative role.
* Strong organisational, time-management, and multitasking abilities.
* Proficiency in Microsoft Office Suite; experience with maintenance management software is a plus.
* Excellent communication skills, both written and verbal.
* Attention to detail with a focus on accuracy in documentation.
* Experience with budgeting and cost management.
* Problem-solving skills for urgent maintenance issues and store operations.
* Retail or multi-site experience preferred.
* Project management skills for store openings and renovations.
* Proactive and willing to learn within retail operations.
* Basic knowledge of building systems (HVAC, electrical, plumbing) is a plus.
* Ability to collaborate across departments.
