JOB TITLE: Member Services Co-Ordinator Summary of the role Member Services The Law Society offers a range of services and support to its members, including practice advice, library resources, communications, and networking and engagement. These services are designed to help members with their professional and personal well-being. As part of this, the Law Society runs a busy programme of internal and external events for members throughout the year. These include conferences, dinners, seminars, webinars, networking events and other professional gatherings. The Member Services Co-Ordinator will lead on the planning and delivery of member events. This includes budget planning and invoicing, venue sourcing, logistics and bookings, liaison with speakers and suppliers, post-event operations and collation and analysis of event feedback and impact metrics. Another important part of this role will be to provide wider administrative support to the wider Member Services Team, to help deliver projects and enable effective engagement and liaison with members. Other Society events Other Departments also run and lead on events throughout the year. This role will provide support and guidance to other Society events (internal and external) as required. The post holder will be required to work closely and collaboratively with a range of stakeholders, colleagues, and departments. In particular, the post holder will be required to work closely with the Front of House team. This varied role requires an individual with exceptional organisational skills, excellent customer service experience, high levels of attention to detail, initiative, flexibility, and the ability to manage competing priorities. The postholder will be required to work outside core business hours. MAIN DUTIES AND RESPONSIBILITIES INCLUDE: Member Services Work with senior Law Society staff and the Presidential team in planning and delivering Member Services. Plan and deliver Law Society Member events this includes managing bookings and registrations; sourcing suitable external venues; organising logistics; liaising with Members and suppliers, handling logistics, managing budgets and invoicing; and post-event follow up. Help prepare core event materials and resources. Identify and analyse post-event feedback and impact metrics and use this to prepare reports on events where required. Manage the event participant booking systems or other registration requirements as needed. Work with the Front of House team, to help set up event spaces and provide support on the day. Proactively support with the promotion and publication of events and help ensure events information is current and fit for purpose. Create and maintain events calendars and progress trackers, to support effective events management. Provide wider administrative support to the Member Services Team, to help deliver Member Services projects and enable effective engagement and liaison with members. Other Society events For events lead by other departments, provide support and guidance, as and when required. Develop and monitor an events calendar and tracker, to ensure there is visibility and co-ordination on all events happening across the Society. General Work with other Law Society staff to promote Law Society House as a venue. Work with external providers to deliver the Audio-Visual requirements of events. Assist with ISO 9001:2015 or any other quality management system and with data protection compliance. Act as fire Marshall for the Event Spaces training will be provided. Provide support to the onsite Facilities Management team if/when they arise. Undertake any other reasonable duties deemed necessary for successful delivery of the Law Societys objectives. Person specification Member Services Co-Ordinator Candidates must demonstrate the essential criteria set out below. EDUCATION: Essential Minimum of 5 GCSEs, or equivalent, grade C or above, including English and Maths. Educated to A Level standard, or equivalent. Desirable Recognised Events Management qualification. Recognised Project Management qualification. SKILLS, KNOWLEDGE, AND ABILITIES: Essential A minimum of two years experience within the last five years in events management, or events and front of house experience. Demonstrate a high level of organisation skill including planning and managing competing priorities. Demonstrate a high level of competence in the use of Microsoft packages and AV platforms (including Word, Outlook, Excel, and PowerPoint, Zoom, Microsoft Teams, GoToWebinar). Current working knowledge of an events booking management system. Experience of invoicing and using supporting systems Knowledge and experience of ISO or an equivalent quality management standard in a multi-functional environment. Terms of appointment This is a full-time, permanent position. Confirmation in the post is subject to successfully completing a 6-month probationary period. The successful candidate will be expected to apply themselves full time to the business of the Law Society of Northern Ireland.
